ABOUT THE ROLE
We are seeking an experienced and vision-driven Technology & Innovation Manager to oversee our entire digital ecosystem. Reporting directly to the CEO in a full-time, remote capacity, you will lead our technology strategy, manage critical systems like Filevine and Google Workspace, direct cybersecurity measures, and drive our AI and automation initiatives. MAIN DUTIES/RESPONSIBILITIES:
1. Technology Strategy & Innovation
- Develop and implement the firm's technology strategy aligned with business objectives.
- Identify opportunities to improve efficiency, profitability, client service, and staff productivity through technology.
- Research, evaluate, and recommend emerging technologies and legal technology solutions.
- Lead digital transformation initiatives across the firm.
- Develop business cases and implementation plans for new technology investments.
2. Technology Systems, Software & Digital Platforms
- Serve as the primary administrator for all technology systems and software platforms used by RTM Law, including but not limited to Filevine, Google Workspace, Dropbox, AI solutions, communication systems, document management systems, and other business applications.
- Configure, maintain, and optimize system performance, workflows, automations, user permissions, and security settings.
- Manage user onboarding, offboarding, access controls, licensing, and software subscriptions.
- Identify, implement, and support software solutions that improve productivity, client service, compliance, and operational efficiency.
- Ensure seamless integration between business systems and third-party applications.
- Develop reports, dashboards, and automation solutions to support business operations and informed decision-making.
- Provide technical support, troubleshooting, and user training across all business systems.
- Maintain relationships with software vendors and service providers to ensure reliable service delivery and ongoing system improvements.
- Monitor system performance and utilisation, making recommendations to improve efficiency and user adoption.
4. Website Development & Digital Presence Management
- Manage and maintain the RTM Law website.
- Coordinate content updates, design improvements, integrations, and functionality enhancements.
- Monitor website performance, uptime, security, and user experience.
- Manage website hosting, domains, SSL certificates, and related services.
- Utilise website analytics to identify opportunities for improvement and growth.
6. Artificial Intelligence (AI) & Automation
- Research, evaluate, implement, and manage AI tools and solutions that support legal and administrative operations.
- Develop AI governance standards, policies, and best-practice guidelines.
- Identify and implement workflow automations that improve efficiency and reduce manual administrative tasks.
- Train and support employees in the effective and responsible use of approved AI tools.
- Monitor AI developments and emerging opportunities within the legal industry.
- Ensure AI usage complies with privacy, confidentiality, and ethical requirements.
7. Cybersecurity & Information Protection
- Develop and maintain cybersecurity frameworks and controls.
- Monitor security risks, vulnerabilities, and incidents.
- Ensure secure management of confidential client, employee, and business information.
- Manage backup solutions, business continuity, and disaster recovery processes.
- Conduct cybersecurity awareness and training programs.
- Respond to and investigate technology-related incidents when required.
8. Systems Integration & Process Improvement
- Manage integrations between Filevine, Google Workspace, AI tools, and third-party applications.
- Identify opportunities to streamline business workflows through automation and technology.
- Work with stakeholders to improve operational processes through digital solutions.
- Maintain data integrity, consistency, and quality across systems.
9. IT Support & User Experience
- Provide leadership and oversight of IT support services.
- Ensure technology issues are resolved efficiently and effectively.
- Develop support procedures and service standards.
- Coordinate onboarding and offboarding technology requirements.
- Assist staff with technical training and system adoption.
10. Vendor & Contractor Management
- Manage relationships with technology vendors, consultants, and service providers.
- Monitor vendor performance and service delivery.
- Negotiate software licensing, support agreements, and technology contracts.
- Recommend cost-effective solutions while maintaining service quality.
11. Compliance, Governance & Risk Management
- Ensure compliance with privacy legislation, cybersecurity requirements, and legal obligations.
- Maintain technology-related policies, procedures, and standards.
- Support audits and compliance reviews.
- Manage technology risk assessments and mitigation plans.
12. Reporting & Administration
- Prepare technology reports, dashboards, and performance metrics.
- Develop and manage technology budgets.
- Monitor technology expenditures and identify cost-saving opportunities.
- Maintain accurate records of systems, licenses, vendors, and technology assets.
PERFORMANCE GOALS:
- Maintain minimum 95% uptime for critical business systems.
- Maintain secure and compliant technology systems with no major security breaches.
- Ensure all employees are successfully onboarded and offboarded within required timeframes.
- Resolve technology support requests within agreed service standards.
- Successfully deliver approved technology projects within budget and agreed deadlines.
- Maintain all software licenses, subscriptions, and vendor contracts without service interruption.
- Complete annual disaster recovery and backup testing.
- Conduct quarterly cybersecurity and AI awareness training for all staff.
- Implement at least four technology, automation, or AI improvements annually.
- Improve system adoption and utilisation across the firm.
- Maintain website uptime above 99%.
- Ensure website content and functionality remain current and effective.
- Identify and implement automation opportunities that reduce administrative effort and improve operational efficiency.
- Maintain accurate technology documentation and asset registers.
- Achieve high user satisfaction levels in relation to technology support and services.
MANDATORY QUALIFICATIONS/SKILLS:Qualifications
- Bachelor's Degree in Information Technology, Information Systems, Computer Science, Cybersecurity, or related discipline.
- Relevant industry certifications highly regarded.
Experience
- Minimum 5 years' experience in technology management, systems administration, or IT leadership roles.
- Experience administering Google Workspace environments.
- Experience administering Filevine or similar legal practice management platforms.
- Experience managing websites, cloud-based systems, and SaaS applications.
- Experience managing technology vendors and external service providers.
- Demonstrated experience implementing business technology solutions and process improvements.
- Experience with AI platforms, workflow automation tools, and systems integrations.
Technical Skills
- Strong understanding of Google Workspace administration.
- Strong understanding of cybersecurity principles and best practices.
- Experience with cloud-based technologies and software integrations.
- Knowledge of website hosting, domains, SSL certificates, and content management systems.
- Understanding of data management, reporting, and analytics.
- Experience with workflow automation tools such as Make, or similar platforms.
- Familiarity with AI productivity and automation tools.

Pay: $170.00 - $210.00 per hour
