About the role
Support Two Entrepreneurs, Multiple Businesses, and a Fast-Moving Executive Life!
We are looking for a highly organized, proactive, dependable, and responsive Executive Assistant to support two business owners managing multiple companies, growing ventures, investments, and an active family schedule.
This is not a traditional “clock in and wait for instructions” assistant role. We are looking for someone who thrives on creating structure, staying organized, solving problems, managing moving pieces, and helping busy executives stay aligned and ahead.
The ideal candidate is calm under pressure, detail-oriented, highly responsive, emotionally intelligent, and capable of anticipating needs before being asked. You should genuinely enjoy organization, coordination, communication, troubleshooting, and helping create order in fast-paced environments.
This role supports both business and executive-life logistics, including scheduling, calendar management, communication organization, travel coordination, reminders, administrative support, and helping ensure important tasks and responsibilities do not fall through the cracks.
What You'll be doing
Executive & Calendar Management
- Manage multiple calendars for both Owners.
- Schedule and coordinate appointments, meetings, and events.
- Prevent scheduling conflicts and help priorities stay aligned.
- Coordinate children’s activities, appointments, and logistical scheduling.
- Coordinate pet-related appointments and reminders.
- Manage travel logistics, itineraries, confirmations, and reservations.
- Send reminders regarding important deadlines, meetings, and commitments.
Communication & Administrative Support
- Monitor and organize multiple email inboxes across businesses and related accounts.
- Flag urgent communications and important follow-ups.
- Help maintain organization across emails, reminders, and task lists.
- Coordinate scheduling changes, cancellations, confirmations, and follow-ups.
- Communicate regularly through Gmail, text, Basecamp, and related platforms.
- Help maintain structure and organization across multiple businesses and responsibilities.
Administrative Coordination
- Maintain organization of recurring bills, subscriptions, renewals, and important due dates.
- Update tracking spreadsheets and organizational systems as directed.
- Coordinate reminders regarding upcoming deadlines and payments.
- Help manage vendor communications and administrative follow-up.
- Assist with day-to-day executive coordination and troubleshooting.

Work Style & Expectations
This is a remote position with flexibility and autonomy. We care far more about ownership, responsiveness, organization, communication, and getting things done than rigid clock-in/clock-out schedules.
That said, this role requires a high level of responsiveness, communication, and awareness throughout the business day and occasional evening hours. Both executives operate in fast-paced environments with constantly moving priorities, schedules, communications, and responsibilities.
The Executive Assistant is expected to:
- Maintain reliable communication throughout the day.
- Consistently monitor email and communication platforms.
- Respond to important texts, emails, and Basecamp communications in a timely manner.
- Proactively manage scheduling changes, reminders, and urgent matters as they arise.
- Remain organized and aware of ongoing priorities across both executives’ schedules and responsibilities.
