You will be involved in:
Office Operations
Making sure the Mexico office runs smoothly every day.
Employee Apartments
Managing the operational side of employee housing, including move-ins, move-outs, maintenance, cleaning, keys, access cards, and property communication.
Vendor Management
Working directly with local suppliers, sourcing new vendors, comparing quotations, coordinating services, and following up on execution.
Administrative Expenses
Supporting payment processes, collecting invoices and receipts, maintaining expense records, and keeping documentation organized.
International Collaboration
Working with HQ Administration, Procurement, Finance, Legal, IT, and local business teams.
Employee Experience
Supporting employee welfare initiatives, celebrations, team activities, afternoon tea, and other workplace experiences.
In short, you will become one of the key people helping keep the workplace running efficiently and creating a positive experience for employees.
Your Responsibilities
- Manage the day-to-day administrative operations of the Mexico office and employee apartments.
- Coordinate office facilities, seating arrangements, supplies, equipment, maintenance, cleaning, and general workplace needs.
- Support new employee onboarding from an administrative perspective.
- Manage employee apartment move-in and move-out processes.
- Coordinate keys, access cards, cleaning services, maintenance requests, repairs, and resident feedback.
- Communicate with landlords, property managers, maintenance teams, cleaning companies, and other local suppliers.
- Manage relationships with existing administrative suppliers and support the sourcing of new vendors.
- Request and compare quotations, coordinate services, monitor execution, and follow up to ensure quality and timely delivery.
- Support administrative payment requests and expense processes.
- Collect invoices, receipts, and supporting documents and maintain accurate expense records.
- Maintain administrative files, supplier information, inventories, and related documentation.
- Support employee engagement and welfare activities, including afternoon tea, holiday celebrations, team events, and other initiatives.
- Provide administrative support to local business teams when needed.
- Work closely with HQ Administration, Procurement, Finance, Legal, IT, and local teams.
- Identify operational issues proactively and coordinate effective solutions.
- Help improve and standardize administrative processes in Mexico.
- Take on additional projects and responsibilities as the business grows.

What We're Looking For
- Bachelor's degree or above. Administration, Business Administration, or related fields are preferred.
- 2+ years of experience in office administration, office operations, facilities, property management, logistics, or a related area.
- Strong organizational and coordination skills.
- Experience working with suppliers, service providers, landlords, property managers, or other external partners is highly valued.
- Experience managing office facilities, employee housing, maintenance, cleaning services, or similar operations is a plus.
- Strong follow-up and execution skills.
- Ability to manage multiple priorities while maintaining attention to detail.
- A proactive, hands-on approach to solving problems.
- Strong service mindset and excellent communication skills.
- Proficiency in Microsoft Office, especially Excel.
- Ability to maintain expense records, supplier information, inventories, and administrative documentation.
- Fluent Spanish and good English communication skills are required (min. 80%).
- Chinese language skills are a plus.
- Previous experience in a multinational, technology, internet, or Chinese company is a plus.
