Position Summary
We are seeking a highly organized, detail-oriented, and proactive Virtual Assistant / Data Entry Specialist to support the Director of Nursing for a multi-facility nursing home organization. This role is responsible for collecting, organizing, validating, and maintaining critical operational and clinical data from multiple facilities, ensuring information is accurate, up to date, and properly classified.
The ideal candidate thrives in a fast-paced environment, enjoys working with data and reports, and can independently manage recurring tasks while maintaining a high level of accuracy and confidentiality.
Key Responsibilities
- Collect daily operational and clinical data from multiple nursing home facilities.
- Maintain spreadsheets, databases, and tracking logs with accurate and timely information.
- Review incoming data for completeness, accuracy, and consistency.
- Classify and organize new information according to established procedures.
- Create daily, weekly, and monthly reports for the Director of Nursing.
- Monitor data submissions from facilities and follow up on missing or incomplete information.
- Identify discrepancies and communicate with appropriate team members to resolve issues.
- Generate reports, dashboards, and summaries to support leadership decision-making.
- Maintain organized electronic files and documentation.
- Assist with administrative tasks, including document preparation, scheduling, and email management as needed.
- Ensure all work complies with HIPAA and company confidentiality policies.
- Continuously improve data organization processes and recommend workflow enhancements.
Qualifications
- 2+ years of experience in data entry, administrative support, virtual assistance, or a similar role.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to prioritize multiple recurring tasks and meet deadlines.
- Comfortable working independently with minimal supervision.
- Excellent written and verbal English communication skills.
- Strong analytical and problem-solving abilities.
- Ability to handle confidential information with professionalism.
Preferred Qualifications
- Previous experience supporting healthcare professionals or nursing home operations.
- Experience working with healthcare reports, quality metrics, or clinical documentation.
- Familiarity with HIPAA compliance.
- Experience using project management or task management software.
Technical Requirements
- Advanced proficiency in Microsoft Excel (sorting, filtering, formulas, pivot tables preferred).
- Proficiency with Microsoft Office Suite and Google Workspace.
