This role serves as the central point of organization for the wedding sales pipeline by ensuring leads are captured, entered accurately into Delphi, assigned appropriately, and progressed efficiently through each stage of the customer journey.
This position plays a critical role in supporting future wedding revenue through disciplined CRM management, timely communication, administrative excellence, and coordination between customers, Wedding Sales Managers, and operational teams.
Success in this role is measured through lead response time, pipeline integrity, conversion support, reporting accuracy, and overall contribution to wedding pace and production goals.
What will I be doing?
Lead Capture & Inquiry Management
- Receive and manage all inbound wedding inquiries from multiple channels including website submissions, email, phone calls, referrals, social platforms, and partner-generated opportunities.
- Serve as the initial point of contact for prospective wedding customers and planners.
- Ensure timely acknowledgment and follow-up on all inquiries in accordance with established service standards.
- Collect and organize key client information including event dates, estimated guest counts, budget expectations, event style, and accommodation needs.
Qualify opportunities and route them appropriately based on business guidelines.

Delphi Administration & CRM Management
- Create and maintain all wedding opportunities within Delphi.
- Ensure account, contact, activity, and opportunity records remain complete and accurate.
- Manage lead statuses and maintain pipeline progression.
- Track lost business reasons and maintain clean opportunity reporting.
- Audit data integrity and ensure adherence to established sales processes.
Support reporting and forecasting activities.

Administrative Support
- Coordinate calendars and appointment scheduling for Wedding Sales Managers.
- Prepare sales documents, presentations, proposals, and internal recaps.
- Organize and maintain wedding collateral, digital files, menus, and sales resources.
- Support contract administration and documentation tracking.
- Assist with departmental reporting and business reviews.
Support internal communication and project coordination.

Reporting & Performance Tracking
- Produce recurring reports including:
- Inquiry volume
- Conversion tracking
- Lead source analysis
- Wedding pace reporting
- Future production visibility
- Response time compliance
- Identify trends and opportunities to improve lead conversion and operational efficiency.
