Summary: We are seeking a detail-oriented and proactive Administrator to provide comprehensive administrative support to a manager and their team. This role is critical to ensuring smooth day‑to‑day operations, financial accuracy, and compliance with quality, health, safety, and environmental requirements.

Key Responsibilities

Provide direct administrative support to the manager and their team across day-to-day operational needs.
Support PO creation and receipting, ensuring accuracy, completeness, and timely processing.
Act as the AP administrator for non-trade accounts, including system setup, maintenance, user support, and issue resolution.
Manage QHSE paperwork and reporting, ensuring documentation is accurate, up to date, and compliant with company and regulatory standards.
Prepare, track, and maintain records, reports, and files related to finance, safety, quality, and operations.
Coordinate with internal stakeholders (finance, procurement, operations, QHSE teams) to resolve discrepancies and follow up on outstanding items.
Support audits and reviews by providing required documentation and reports.
Handle other administrative tasks as needed, including scheduling, document preparation, data entry, and general office support.

Qualifications & Skills

Proven experience in an administrative or office support role
Familiarity with PO processes, invoicing, and financial systems (experience with Medius/APOC considered an asset)
Strong organizational skills with high attention to detail
Ability to manage multiple priorities and meet deadlines
Proficient in Microsoft Office (Excel, Word, Outlook)
Strong communication skills and a proactive, problem-solving mindset
Experience supporting QHSE documentation or reporting is an advantage
