Responsibilities
- Manage calendars, appointments, reservations, scheduling, and personal administrative needs.
- Coordinate household and family logistics, including appointments, service providers, and other day-to-day needs.
- Manage household bills, payments, records, and related administrative tasks.
- Support light property management, including rental applications, lease coordination, and communication with relevant parties.
- Coordinate personal and business travel, including flights, accommodations, transportation, reservations, and itineraries.
- Provide executive support, including scheduling, paperwork, research, government registrations, and light project management.
- Research and source vendors, service providers, products, and solutions, validating pricing, reviews, availability, and other relevant details.
- Make calls, request quotes, coordinate vendors, and follow up until requests are completed.
- Handle occasional errands and in-home responsibilities in Mexico City. Approximately 20% of the role may involve in-person work depending on the week.
- Keep the co-founders informed through concise updates and proactively flag decisions or issues requiring their attention.
- Report primarily to one co-founder while supporting the second as needed.
Role Requirements
- Must be based in Mexico City, Mexico.
- 2+ years of experience as a personal assistant, executive assistant, household or estate manager, property manager, hospitality professional, or in another high-touch support role.
- Fluent written and spoken English and Spanish.
- Strong research, sourcing, organization, and problem-solving skills.
- Comfortable independently communicating with vendors, businesses, service providers, and other external contacts by phone, email, and messaging.
- Excellent judgment, discretion, and respect for confidentiality.
- Ability to work independently and manage a mix of personal, household, and executive priorities.
- Comfortable completing a background check, reference check, and recurring drug screening due to the trusted and in-home nature of the position.
- Available for occasional in-person responsibilities in Mexico City with reasonable scheduling flexibility.
- Comfortable working as an international independent contractor.
- Reliable primary and backup internet connections.
Nice to Have
- Experience in recruiting, sourcing, research, or another role requiring strong investigative skills.
- A valid US visa, as occasional travel to the United States may be required. A US visa is not required to apply.
- Experience in healthcare, caregiving, hospitality, property management, or another role involving high-touch service or work in clients' homes.
