Position Overview:
Provide support for all client requests by executing control, processing, and operational support tasks, contributing to client satisfaction, timely submission to the billing department, and achievement of the department's performance indicators.
Specific Responsibilities
- Analyze low- and medium-complexity requests and provide recommendations based on specific travel needs, with technical support from other Consultants and/or Management.
- Ensure that all open requests are accurate, complete, and up to date in the system, utilizing its functionalities to maximize productivity.
- Ensure proper logistics and handling of passports and other application-related documents, including verification, control, shipment, collection, and return processes.
- Process fee payments and record the corresponding information in the system in accordance with departmental procedures.
- Execute operational controls necessary for the proper management of resources allocated for fee payments and provide reconciliations to the Finance Department when required.
- Register clients and/or complete specific forms in consular portals as needed for the application process when no Assistant or Trainee is available to provide support.
- Perform document translation, legalization, and apostille activities in accordance with departmental procedures when no Assistant or Trainee is available to provide support.
- Assist clients in person (at the office or during external visits), by telephone, or via email within established service timelines.
- Update the department’s technical manuals as necessary and actively contribute to the training of trainees and interns.
- Be evaluated through quantitative performance metrics, including but not limited to: number of completed requests, request variation, submissions to billing, and client satisfaction.
- Perform other duties as assigned by Management.
- Represent CIBT professionally, ensuring compliance with the Ethics/Compliance Policy and adherence to corporate policies and procedures.
Required Experience and Education
- Experience in administrative and/or operational activities.
- Previous experience in travel services is not required.
- Experience in customer service.
- Bachelor’s degree in Business Administration, Law, International Relations, Foreign Trade, Tourism, or a related field.
