Job Description – Workplace Coordinator
The Workplace Coordinator is responsible for the day-to-day coordination of workplace and facilities services at the Site, ensuring all activities are delivered through specialized third-party providers in line with the outsourced service model defined in this SOW. This role acts as the primary on-site operational point of contact and is accountable for vendor coordination, service execution, purchasing support, invoicing follow-up, workplace administration, and issue escalation to maintain a safe, compliant, and effective workplace environment.
Key Responsibilities

Serve as the primary on-site point of contact for workplace and facilities operations.

Coordinate all site services through specialized vendors, including cleaning, pantry and beverage services, office supplies, mail and shipping, utilities support, signage, pest control, and maintenance-related services.

Manage vendor relationships, including service scheduling, follow-up, performance monitoring, service report review, and escalation of service failures or risks.

Support sourcing and procurement activities for workplace and facilities needs, including purchase requests, quotation follow-up, vendor onboarding coordination, and compliance with approved processes.

Administer site purchasing and accounts payable activities, including invoice tracking, validation support, goods and services confirmation, and timely follow-up to support vendor payment.

Monitor service delivery against scope, service levels, budget parameters, and workplace standards established in the SOW.

Track operational issues, maintain logs and status updates, and escalate deviations, risks, or urgent incidents in a timely manner.

Coordinate workplace administration activities such as office supplies, pantry inventory, basic workplace consumables, shipping requests, and general site readiness.

Support landlord and building management coordination for site-related operational matters, access, building services, and issue resolution.

Support emergency preparedness, business continuity, and site safety processes by coordinating required actions, documentation, communication, and vendor response.

Prepare recurring operational updates, service summaries, and reporting on vendor performance, open issues, and workplace needs.

Promote a positive workplace experience through responsive service coordination, effective communication, and continuous follow-up on user needs.
Qualifications and Experience

Bachelor’s degree in Business Administration, Facilities Management, Hospitality, Operations, or a related field preferred.

3–5 years of experience in workplace, facilities, office operations, or vendor coordination roles.

Experience working in outsourced service environments and coordinating specialized third-party providers.

Experience supporting procurement, purchase order processes, invoice administration, and operational budgeting.

Strong understanding of workplace operations, service delivery coordination, and customer service standards.

Fluent Spanish and English required.
