The Fleet Analyst controls and executes vehicle availability, maintenance planning, regulatory compliance, fleet data management, fuel administration, insurance claim support, and vehicle assignment processes. The Fleet Analyst serves as the primary point of contact for fleet users, providing guidance and support on vehicle-related services while ensuring timely resolution of requests through the service management system. The role also maintains accurate fleet records.
Key Responsibilities

Ensure optimal vehicle availability by balancing fleet capacity with operational demand, including assigned vehicle users, vehicles undergoing maintenance, new hires, and rental vehicle requirements.

Coordinate and ensure compliance with annual preventive maintenance programs and biannual emissions certifications for all institutional vehicles across CIMMYT-Mexico locations, working closely with users, vendors, and the internal workshop to schedule services efficiently.

Provide guidance and customer support throughout the insurance claims process, ensuring timely follow-up, effective case management, and appropriate recommendations to facilitate the best possible resolution for users.

Administer the mobility service request platform, including the receipt, assignment, monitoring, and closure of service tickets related to vehicle inspections, preventive and corrective maintenance, executive taxi services, transportation requests, courier services, driver’s license applications, vehicle registration procedures, and exceptional fuel allocations.

Promote the efficient use of financial resources by evaluating repair costs against insurance deductibles and recommending the most cost-effective solution for minor vehicle damages through approved service providers.

Manage vehicle assignments, replacements, returns, and temporary loan vehicles, ensuring the completion of vehicle inspections, fuel level verification, and accurate documentation for each transaction.

Analyze maintenance performance, supplier service levels, and internal fleet processes, providing data-driven recommendations and improvement opportunities to the Mobility Coordinator.

Prepare, validate, and analyze operational data required for weekly key performance indicators (KPIs), ensuring data accuracy and timely submission to the Mobility Coordinator for reporting and performance analysis.

Monitor and control fuel consumption for Pool vehicles, manage additional fuel allocations through the ORS platform, and process the weekly fuel distribution through the fuel provider’s management system.

Serve as the primary point of contact with fuel providers regarding fuel card incidents, coordinating issue resolution and providing timely support to vehicle users.

Maintain accurate, complete, and up-to-date records of fleet operations, vehicle maintenance history, fuel usage, and related fleet management information within the corresponding databases and systems.

Support continuous improvement initiatives and perform additional duties and special projects as assigned by the supervisor to support fleet and mobility operations.
Requirements

Bachelor’s degree in Business Administration, Logistics, Engineering, Transportation Management, or a related field.

4-5 years of experience in fleet management, transportation coordination, logistics.

Knowledge of vehicle maintenance processes, insurance claims follow-up, and operational coordination.

Experience in customer service and direct interaction with users, providing support, addressing inquiries, and resolving issues in a timely and professional manner.

Experience working with ERP systems, ticketing systems, and Microsoft Office applications, especially Excel.

Strong organizational and analytical skills.

Ability to manage multiple tasks and priorities in a fast-paced environment.
