Office Administrator & Operations Coordinator (Part-Time)

Degenkolb Engineers is a leading structural and earthquake engineering firm with offices throughout the United States and Mexico. We are seeking a highly organized, proactive, and professional Part-Time Office Administrator & Operations Coordinator to support our San José del Cabo office.
We are looking for a dependable professional who can serve as the operational backbone of the office, supporting administration, accounting, document production, and day-to-day business operations. This is an in-office position that works closely with local leadership and colleagues throughout North America.
The position is initially part-time. As our office continues to grow, there is potential for the role to expand into a full-time position based on business needs and the candidate's performance and success in the role.
Key Responsibilities
- Manage daily office operations and administrative activities
- Support accounting processes, including invoice tracking, expense reporting, vendor coordination, and financial record keeping
- Coordinate office purchases, supplies, and service providers
- Maintain organized digital and physical records
- Assist with scheduling, meetings, travel arrangements, and company events
- Support onboarding and general administrative processes
- Communicate professionally with vendors, consultants, clients, and team members in both English and Spanish
- Assist leadership with special projects and operational initiatives
- Support engineers with the formatting, editing, organization, and quality control of technical reports, proposals, presentations, and other project-related documents
- Help maintain consistency with company templates, branding, and document standards
- Run occasional business-related errands, including visits to vendors, banks, government offices, and other local service providers
- Coordinate office logistics and help ensure smooth day-to-day operations
Qualifications
- Experience in office administration, accounting, bookkeeping, office management, or similar roles
- Strong computer skills and proficiency with Microsoft Office (Outlook, Excel, Word, and PowerPoint)
- Advanced Microsoft Word skills, including formatting of professional reports, tables, figures, headers, footers, styles, and document templates
- Experience supporting accounting processes and financial documentation
- Excellent organizational and time-management skills
- Strong attention to detail and ability to manage multiple priorities
- Excellent written and verbal communication skills
- Professional fluency in both English and Spanish
- Valid driver's license and clean driving record
- Personal vehicle available for occasional business-related errands and meetings
- Ability to work independently, exercise good judgment, and take initiative
Preferred Qualifications
- Experience supporting engineering, architecture, construction, consulting, or other professional services firms
- Experience preparing or formatting technical reports, proposals, presentations, or other professional documents
- Experience coordinating vendors, office facilities, and administrative processes
- Experience supporting small office operations and working directly with leadership teams
