A full-service Real Estate firm is seeking a proactive and detail-oriented Client Support Specialist to join their team. This role is in charge of supporting day-to-day communications and administrative processes related to tenants, homeowners, and HOA (Homeowners Associations) / Condominium Associations. This position focuses on providing responsive customer service, tracking requests and compliance items, and assisting with property management–related inquiries while maintaining professionalism, accuracy, and confidentiality.
Key Responsibilities:
- Serve as a primary point of contact for tenants, homeowners, and HOA (Homeowners associations) / Condo Associations, handling inquiries and communications in a professional and timely manner.
- Assist with homeowner communications, including tracking, logging, and responding to Architectural Change Requests.
- Track, report, and follow up on HOA violations as needed.
- Support HOA dues collection by following up on balances and assisting homeowners with online payment questions.
- Assist homeowners with questions related to HOA special assessments.
- Handle tenant, client, and vendor communications, including lease-related questions, account inquiries, and coordination between tenants and vendors.
- Track and report HCI submissions and application requests.
- Maintain accurate records while ensuring confidentiality and professionalism at all times.
Qualifications:
- Minimum of 2 years of experience in a Customer service or Administrative assistant role (including phone support or similar bilingual experience with customers).
- Experience working with U.S.-based Real Estate or Property Management companies is required.
- Strong interpersonal skills with a positive, customer-service mindset.
- Excellent written and verbal communication skills (Advanced English only)
- Strong organizational, multitasking, and problem-solving abilities.
- Ability to handle sensitive information with confidentiality and professionalism.
- Self-motivated, disciplined, and eager to learn.
- Proficient in Microsoft 365 and comfortable with general computer systems.
- Ability to work 40 hours per week aligned with U.S. Central time zone.
