- Serve as the first‑line contact for employee travel inquiries, providing timely guidance on bookings, policies, tools, and processes
- Triage and escalate travel issues to the appropriate teams internally (e.g., Finance, Security) and externally (travel management company)
- Serve as main point of contact between Copeland and travel management company for any travel inquiries and coordinate and follow-up on issue resolution
- Ensure consistent application of travel policy and standard responses across all inquiries
- Maintain the Travel SharePoint site, ensuring content is accurate, current, and aligned with approved policies and procedures
- Publish and manage standard travel documentation (policies, booking guides, FAQs, training materials, communications)
- Coordinate content updates across Procurement, Finance, HR, and Security, ensuring governance and version control
- Support preparation and distribution of standard travel reports and compliance metrics
- Assist with monitoring policy adherence and identifying recurring non ‑ compliance patterns
- Support data validation, audits, and escalation of compliance or data issues as required
- Work with BU’s and Functional leaders to drive improvement and adherence to the Travel Programs
- Maintain travel training materials, job aids, and onboarding content
- Conduct periodic travel training as needed
- Support delivery of travel communications, policy reminders, and system updates
- Capture common traveller questions and feedback to inform training and content improvements
- Collaborate with Procurement, Finance, HR, and external providers to support day‑to‑day travel operations
- Identify recurring issues and support continuous improvement and standardization efforts
- Provide coordination support for travel program changes, tool updates, and supplier transitions
Essential:
- Associate or bachelor’s degree in a related field, or equivalent practical experience
- 3-5 years of experience in an administrative, coordinator, or shared services role, preferably in GBS or large‑scale operations
- Strong Microsoft Office skills (Outlook, Excel, PowerPoint, Word) for communications, reporting, and documentation
- Customer service focused, with experience supporting employee inquiries through standardized, ticket-based support models
- Ability to manage multiple requests in a structured, process driven environment while adhering to SLAs and escalation paths
- Working knowledge of corporate travel booking and expense platforms (e.g., Concur, AMEX GBT, Egencia, Cytric, Navan)
- Familiarity with corporate travel and expense (T&E) policies, TMC models, and compliance expectations
- Experience maintaining SharePoint or intranet content, including policies, FAQs, and training materials
- Exposure to operational metrics, KPIs, or reporting in an administrative or shared services environment
- Comfort working with large data sets, including basic data analysis and visualization skills (e.g., Excel pivot tables, Power BI, or similar tools)
- Fluent in spoken and written English
Preferred:
- Experience with service management or ticketing tools (e.g., ServiceNow or similar request tracking systems)
- Prior exposure to global or regional travel programs with multiple stakeholder groups
- Familiarity with travel dashboards or KPI monitoring (compliance rates, booking channel usage, spend visibility)
