Job Overview
The Program Coordinator plays a key operational role in supporting the Sustainable Seafood program through audit coordination, financial operations, client onboarding, and auditor management, with primary responsibility for supporting operations under the Marine Stewardship Council (MSC) Fisheries Standard, while also supporting MSC Chain of Custody Standard (CoC) and Aquaculture Stewardship Council (ASC) certification activities.
This role is best suited for someone who is self-driven, resourceful, and comfortable learning within a complex and evolving certification environment. While the position is not a technical role, the successful candidate should demonstrate curiosity and willingness to develop a working understanding of certification standards, fisheries terminology, species, audit scopes, and operational requirements in order to effectively support project coordination and certification activities.
The candidate should be comfortable navigating ambiguity, using available resources and team collaboration to independently problem-solve and move work forward. Strong attention to detail, information retention, and the ability to connect information across multiple projects and systems are important for success in this role.
As part of a growing and evolving program, the Program Coordinator will assist in developing and formalizing standard operating procedures (SOPs) to enhance efficiency and structure within the team. As operational processes continue to mature, the role may expand to support additional components of the Sustainable Seafood Program.

Essential Duties and Responsibilities
Audit Coordination
- Lead client onboarding, address operational and financial inquiries, and ensure a smooth audit process through clear communication with auditors and clients
- Communicate with clients regarding audit preparation, work orders, contracts, and audit scheduling
- Coordinate with auditors, technical staff, and internal teams to ensure efficient audit delivery and alignment of roles and responsibilities
- Create and manage audit projects in Salesforce, including setting up opportunities, InspirePlanner tasks, and assigning auditors and technical reviewers
- Maintain audit records, track project progress, and ensure accurate tracking of certification anniversaries and audit cycles in compliance with SCS procedures and certification scheme requirements
- Ensure accurate and timely tracking of certification anniversaries and audit cycles
- Support timely progression of audit projects to help meet operational timelines and financial targets
- Communicate with international affiliates regarding certification processes and relevant program requirements
Financial Support
- Support financial operations, including creating, delivering, and tracking work orders, invoices, contracts, and proposals
- Ensure timely and accurate invoicing and receivables management, including tracking aging receivables and engaging with clients to resolve outstanding payments
- Assist in tracking and reporting revenue performance across relevant services, including revenue from headquarters and international affiliates
- Monitor financial performance within the operations team by tracking revenue, accruals, credit memos, contractor fees, and direct audit costs
- Support pricing and proposal development for recertification and surveillance audits
- Coordinate closely with the sales team to ensure accurate pricing and service proposals
- Track program expenses and reconcile them against budgeted amounts
- Identify and recommend process improvements to enhance operational efficiency and financial performance
Auditor and Contract Coordination
- Support the full lifecycle of auditor contracts and work requests, including drafting, sending, tracking, and following up to ensure proper execution
- Maintain an organized system for storing auditor contracts, ensuring easy access and compliance with company policies and scheme requirements
- Independently monitor and review auditor invoices for accuracy and completeness, ensuring alignment with contracted terms before approval and processing
- Oversee auditor invoices and expense submissions for accuracy, verifying compliance with company policies and coordinating timely reimbursements
- Serve as a point of contact for auditors regarding contract-related inquiries, payment timelines, and expense reimbursements
- Collaborate with AuditorHub, Technical Managers, and program staff to support auditor onboarding, resource planning, and continuous process improvement
- Support the development and maintenance of systems to track auditor qualifications, certifications, training, and compliance
- Monitor qualification timelines, assist with onboarding processes, and ensure auditors complete required training and standards
- Generate and maintain reports on auditor qualifications, availability, and compliance status for internal stakeholders and accreditation compliance
Operational Support
- Maintain and organize program documentation, records, databases, and certification files
- Ensure information accuracy and version control across program materials and internal systems
- Maintain compliance with SCS quality management systems and certification scheme rules
- Update and manage client and certificate information in internal databases and external scheme databases (e.g., SCAP)
- Support certificate lifecycle management, including certificate creation, issuance, updates, suspensions, withdrawals, terminations, and reinstatements
- Support internal processes such as contract management, procurement coordination, and document control
- Draft, review, and distribute program-related communications and updates
- Support the development of templates, operational tools, and guidance documents used by the team
- Work closely with team members across departments to ensure consistent execution of program goals and program compliance with organizational policies and standards
- Support stakeholder outreach, communication, and client relationship management by providing responsive and solution-oriented service
- Support the development and documentation of standard operating procedures (SOPs), templates, and guidance documents to streamline workflows
Communication
- Point of contact for clients and auditors, providing advice and assistance in response to operational and administrative questions
- Attend virtual and in-person meetings with team members, clients, and collaborating partners
- Coordinate stakeholder communication processes, including issuance of public announcements, maintenance of stakeholder databases, and monitoring/responding to stakeholder inquiries
- Work effectively to ensure all issues are dealt with promptly, recording client issues and details, and elevating issues to program staff when necessary
Minimum Qualifications
- Bachelor's Degree in Business Administration, Operations Management, Quality Assurance, Supply Chain Management, Project Management, Environmental Science, Sustainability or related field or
- Equivalent combination of education and/or relevant work experience and
- 2+ years of experience in project coordination, operations administration, certification or compliance support, business administration, client services or related role
- Experience in project management
- Fluency in Spanish and English with work experience that includes professional verbal and written communication
- Proficient with business software including Microsoft Outlook, Word, Excel, and database management
- Strong organizational skills, attention to detail, and ability to prioritize multiple tasks to meet deadlines
- Initiative, good judgment, and ability to work independently under pressure in a changing environment
