Blacksand Property Management is a Texas-based property management company dedicated to delivering superior residential rental experiences across its portfolio of apartment communities. As Blacksand continues to grow, the need to respond to every inbound lead promptly and professionally is mission-critical. Missed calls mean missed leases — and this role exists to ensure that never happens.
POSITION SUMMARY
The Leads Coordinator is the first human touchpoint between a prospective tenant and Blacksand Property Management. This is a high-impact, revenue-generating role responsible for receiving inbound inquiries, qualifying prospects, and moving leads efficiently through the leasing funnel — ultimately converting interest into signed leases.
This role operates fully remotely from South America, aligned to Central Standard Time (CST) business hours, supporting Blacksand's Texas-based properties. The ideal candidate combines the warmth of a native Spanish speaker with the polish of a fluent English communicator, backed by solid knowledge of the U.S. residential real estate market.
KEY RESPONSIBILITIES
1. Lead Response & Real-Time Communication
- Answer all inbound calls, texts, and emails during CST business hours (Monday–Saturday, 8 AM – 6 PM CST) with urgency and professionalism.
- Engage with prospects in English or Spanish depending on their preference.
- Provide accurate and compelling property information: unit availability, pricing, amenities, pet policies, utilities, and lease terms.
- Promptly follow up with all leads who did not reach a live agent on first contact.
2. Lead Qualification & Pipeline Management
- Qualify prospects based on income requirements, rental history, move-in timeline, and household size.
- Log all lead activity in the property management CRM (AppFolio, Buildium, Yardi, or similar) within 30 minutes of each interaction.
- Maintain an organized and current lead tracker, flagging hot leads for immediate escalation to the leasing and property management team.
- Schedule property tours and coordinate with on-site teams to ensure seamless prospect experience.
3. Conversion & Leasing Support
- Guide qualified prospects through the application process: rental application, document checklist, screening criteria.
- Overcome common objections (price, availability, move-in timing) using consultative sales techniques.
- Follow up with pending applications to keep the leasing pipeline moving.
- Meet or exceed monthly lead-to-showing and showing-to-application conversion KPIs.
4. Reporting & Communication
- Submit daily/weekly lead activity reports to the Property Manager.
- Flag trends in lead volume, geographic origin, unit preferences, or objections to inform marketing strategy.
- Coordinate cross-team communication between prospects, maintenance, and management as needed.
5. Compliance & Professionalism
- Adhere strictly to the Fair Housing Act and Texas fair housing regulations in all prospect interactions.
- Maintain confidentiality of all applicant data per applicable privacy standards.
- Represent Blacksand's brand voice consistently: professional, warm, knowledgeable, and solution-oriented.
REQUIRED QUALIFICATIONS
Language Proficiency
- Native Spanish speaker — non-negotiable. Must demonstrate natural fluency, tone, and cultural competency.
- Fluent in English — spoken and written. Must conduct professional-quality phone calls, emails, and reports in English.
U.S. Real Estate Knowledge (Required)
- Demonstrated understanding of the U.S. residential leasing cycle: marketing → inquiry → showing → application → screening → lease execution → move-in.
- Knowledge of Fair Housing Act (FHA) and HUD protected classes; ability to apply principles in every prospect interaction.
- Familiarity with Texas-specific landlord-tenant law: TAR lease agreements, security deposit rules, notice requirements.
- Understanding of U.S. lease structures: month-to-month, fixed-term, gross lease, and basic understanding of NNN.
- Awareness of the Texas rental market: major metros (DFW, Houston, Austin, San Antonio), rent pricing norms, and competitive landscape.
Communication & Sales Skills
- Exceptional phone manner: clear articulation, warm tone, confident pace, and active listening.
- Proven ability to qualify leads, handle objections, and guide prospects toward a decision without pressure.
- Strong written communication: grammar, punctuation, professional email structure.
- High emotional intelligence — can de-escalate frustrated prospects and turn challenging calls into leasing opportunities.

- Minimum 30 Mbps stable internet connection (wired preferred); dedicated workspace free of background noise.
- Proficiency in CRM platforms: AppFolio, Buildium, Yardi, Propertyware, or equivalent.
- Experience with VoIP platforms: RingCentral, Grasshopper, Google Voice, or equivalent.
- Comfortable with video conferencing (Zoom, Google Meet) and collaboration tools (Slack, Notion, Google Workspace).
- Able to commit to CST business hours on a full-time basis.
