Responsibilities

4+ years of experience in recruiting operations, administrative support, or office management, preferably supporting an executive-level recruiting function

Experience coordinating complex interview scheduling across multiple stakeholders, including senior executives and business leaders

Demonstrated ability to manage ad hoc operational projects and drive process improvements within a recruiting or HR function
-
Exceptional written and verbal communication skills with the ability to interact professionally with senior stakeholders and C-suite level candidates

Proficiency in ATS platforms, HRIS tools, and productivity software; experience with data entry and maintaining data integrity across systems

Strong organizational skills and the ability to prioritize and manage multiple tasks simultaneously in a high-volume, fast-paced environment

High level of discretion and integrity when handling confidential executive-level information
Requirements

Provide dedicated operational support to the Executive Recruiting team, including offer creation, interview scheduling, process documentation, data entry, and ad hoc project support

Draft, review, and manage executive-level offer letters and employment agreements for U.S. and Canada, ensuring accuracy and timely delivery

Coordinate end-to-end interview scheduling for executive-level candidates, partnering closely with recruiters, hiring managers, and senior business stakeholders

Lead and contribute to ad hoc operational projects, including process improvement initiatives, workflow documentation, and reporting for the Executive Recruiting team

Serve as a key point of contact for senior stakeholders throughout the interview process, ensuring a seamless and professional candidate experience

Maintain data integrity across internal ATS and HR systems, ensuring accurate and up-to-date records for executive-level requisitions and candidates

Manage team meetings, coordinate agendas, and support the Executive Recruiting Operations Lead on strategic group initiatives
