This role is a replacement for business continuity within the Order Management team at the Queretaro Switchgears facility. The primary objective is to administer and control all operational and production documentation, ensuring its integrity and availability to support daily business operations and guarantee timely production shipments. To meet these objectives, the position focuses on three core areas: comprehensive document lifecycle management, direct operational and shipment support, and system administration and compliance. This structure ensures that all documents are properly stored, versioned, and distributed, while also supporting critical production timelines and adhering to corporate and regulatory standards. Given the focus on these areas, the ideal candidate will possess proven experience in document control within a manufacturing or logistics environment. Key requirements include proficiency with document management systems, strong organizational skills, and the ability to support internal and external audits effectively.
How You’ll Make an Impact
- 50% Document Lifecycle Management & Control
- Manage the storage, control, classification, and indexing of all organizational documents.
- Maintain and update physical and electronic records to ensure accuracy and integrity.
- Control document versions, changes, and approval processes according to established procedures.
- Track, locate, and retrieve records to ensure full traceability across systems.
- Convert physical documentation into electronic formats as required to improve accessibility.
- 30% Operational & Shipment Support
- Ensure all necessary documentation for daily production shipments is accurate, complete, and available on time.
- Guarantee the correct distribution and availability of documentation for all relevant operational areas.
- Serve as the primary point of contact for operational teams regarding documentation needs.
- 20% System Administration & Compliance
- Administer document repositories and electronic document management systems (EDMS).
- Support internal and external audits by providing required documentary evidence and process explanations.
- Ensure compliance with corporate policies for document management and record retention.
What you bring
Education
- Bachelor's degree in Business Administration, Industrial Engineering, Logistics, or a related field.
- 0-2 years of experience in document control, records management, or administrative support, preferably in a manufacturing or supply chain environment.
- Intermediate English proficiency (B1-B2 level)
