Are you the person friends and coworkers hand their loose ends to because they know it'll actually get done? Do you take pride in being someone a busy owner can hand something to and simply stop thinking about it? Are you comfortable jumping into an operational fire drill just as easily as you manage a calendar — and just as comfortable being told “figure out what I need and tell me how to do it” as you are following clear instructions? If so, this might be the position of your dreams!
Role:
You'll be the right hand to the owners of a growing U.S. property management company — owning email, calendars, communication, and day-to-day logistics so they can stay focused on running the business. A big part of this role is triage: intercepting the constant stream of questions and requests coming through Teams, Monday.com, Property Meld, and our phone system, and helping the owners batch and prioritize instead of getting pulled into every fire as it lands. This is primarily an owner-support role, but property management moves fast: when the operations side needs extra hands, you'll cross-train and step in there too.
We work in a 10-80-10 style: the owners will give you direction and context up front (10%), you'll do the heavy lifting (80%), and together you'll close the loop on the final details (10%). Over time, as trust builds, more of the work becomes fully yours to own — including small projects end-to-end (for example, running point on a hiring process: drafting the posting, screening resumes, scheduling interviews, and bringing back a shortlist).
You'll be trusted with sensitive personal and business information daily, so discretion is essential (more on that below).
Job Type:
Contract worker, 40 hours per week
Reports to: Company Owners
Location: Remote (Mexico)
Compensation: 3,500 – 5,000 MXN Pesos Per Week (depending on experience)
Responsibilities:
- Own email management end-to-end — triage, draft, respond, and flag anything that needs the owners' direct attention
- Triage incoming requests across Teams, Monday.com, Property Meld, and our phone system — resolve what you can, batch what can wait, escalate true emergencies immediately
- Meet daily with one of the owners to review priorities, open items, and anything that needs a decision
- Serve as the routing point for daily communications, closing the loop rather than just passing messages along
- Coordinate and sit in on a weekly sync between an owner and their spouse, tracking action items and following up
- Manage calendars and scheduling — protect time for high-priority work, not just fill the calendar
- Build and maintain SOPs and templates for recurring tasks
- Coordinate travel — research, bookings, and itineraries for business and personal trips
- Handle personal errands, appointments, and household logistics as needed
- Prepare and organize internal documents, files, and records
- Track expenses and support basic reconciliation
- Own small projects end-to-end as trust builds (e.g., coordinating a hiring process, vendor research)
- Cross-train into operational/property management support — tenant and vendor communication, scheduling, maintenance coordination — whenever the business needs extra hands
- Comfortable receiving instructions via Loom recordings, voice memos, or written notes and turning them into a workflow you own going forward
- Other responsibilities as needed
Privacy & Discretion — Non-Negotiable
This role has direct exposure to sensitive personal and business information — financial details, private family matters, confidential company decisions. There is zero tolerance for sharing or repeating anything you see or hear here, with anyone, inside or outside the company. If you can't keep things locked down completely, this isn't the right fit.
What “Great” Looks Like
- Owners' inboxes and calendars are never a bottleneck
- Nothing falls through the cracks — you close loops before anyone has to ask
- Owners spend less time firefighting and more time on high-priority work because you're filtering and batching effectively
- You move fluidly between owner support and operational tasks without missing a beat
You're a Strong Fit If You Have
- Rock-solid organizational skills and the ability to juggle competing priorities
- A proactive, self-directed work style — you spot what needs doing without being told, and you're comfortable helping shape this role rather than waiting for a fully defined job description
- Comfort with ambiguity — you can take a loosely defined ask and run with it
- No hesitation about stepping into operational/property management tasks when the business needs it —
Nice to Have (Not Required — We'll Train)
- Experience supporting an executive, business owner, or small business — ideally someone who can bring their own playbook for how a good EA operates
- Prior property management, real estate, or similar operations experience
- Comfort with common productivity and scheduling tools (Outlook, calendars, Monday.com, Loom)
Requirements:
- Professional-level spoken English — clear pronunciation, minimal accent, and a pleasant, confident phone voice. This role regularly interacts directly with clients and vendors by phone, so you should be easily understood without anyone needing to ask you to repeat or slow down.
- Reliable, professional phone/email communication — comfortable owning a full inbox
- Proficient with basic computer/web/phone systems
- Able to work independently after initial training
- Team player, positive attitude, adheres to deadlines
- Full discretion with confidential information (see above) — non-negotiable
