Responsibilities
Generate accurate and timely quotes for service contracts
Own day-to-day scheduling and planning
Review B2B quotes/bids (hardware, software, managed services) for scope accuracy, pricing, and margin targets
Create and validate draft invoices against timesheets, contracts, and POs; resolve discrepancies
Track revenue, costs, and margins per project/engagement; flag variances and opportunities to improve
Build/maintain dashboards and reports
Support audits and compliance checks
Ensure quotes align with SOWs, contract terms, SLAs, and internal approval workflows
Maintain clear documentation and ensure operational workflows adhere to company policy and client expectations
Provide periodic reporting and analysis to support strategic initiatives and continuous improvement
Demonstrate strong technical and people problem-solving skills and the ability to structure problems into actionable insights
Demonstrate clear written and spoken English communication with colleagues, clients, and vendors
Develop and implement data analysis strategies, methodologies, and best practices to align with organizational goals
Partner with Global stakeholders to oversee execution of budget plans through purchase order creation and invoice and accruals management
Reconcile budget plan and spend actuals through disparate datasets and develop reporting to ensure execution and manage risk across the organization
Work with the Global Operations team to define and update processes as we continue to grow and evolve the business
Requirements
Bachelor’s degree or equivalent experience
Minimum 2 year of experience in a Managed Services or IT Operations environment is highly preferred
Minimum 2 in operations, project coordination, sales operations, or similar role in an IT services/MSP or B2B tech environment
Minimum 2 years of experience in a people ops, business ops, coordinator, or executive assistant role in finance, banking, fintech, travel, memberships/loyalty, or tech startup
Fluent English (written and spoken)
Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook)
Proficiency with Google Workspace (Docs, Sheets, Slides, Gmail, Drive)
Advanced Excel Skills
Proven experience with scheduling/resource planning and invoice management
Strong organization, attention to detail, and follow-through across multiple concurrent workflows
Clear written/verbal communication in English; professional client etiquette
Ability to manage multiple priorities and meet deadlines in a fast-paced, collaborative setting
