We are seeking a highly organized, proactive, and legally-minded Litigation Coordinator & Executive Assistant to anchor our expanding litigation team. In this dual-function role, you will serve as the strategic gatekeeper, air-traffic controller, and operational backbone for a fast-paced team of litigation attorneys.
This is not a basic administrative role; you will be responsible for the high-stakes management of court-mandated deadlines, hearing schedules, and case tracking. The ideal candidate possesses a sharp understanding of the litigation lifecycle, exceptional attention to detail, and the ability to ruthlessly prioritize tasks in a dynamic environment.
Duties and Responsibilities:
- High-Volume Calendar Management: Masterfully manage and optimize calendars for 7 litigation attorneys, balancing court appearances, depositions, client meetings, and internal deadlines.
- Docketing & Deadline Tracking: Track and monitor crucial court-mandated deadlines. Ensure the schedule for all upcoming court filings is meticulously maintained and that attorneys are alerted well in advance.
- Team Coordination & Gatekeeping: Serve as a central point of contact for the 7-attorney team. Coordinate schedules with internal staff, clients, opposing counsel, and court personnel to ensure smooth execution of legal proceedings.
- Reporting & Case Tracking: Utilize Excel, Google Sheets, and legal management tools to generate comprehensive case status reports, tracking metrics, and administrative summaries for leadership.
- Prioritization & Problem Solving: Actively triage conflicting schedules and last-minute court continuances. Proactively resolve overlapping commitments before they become issues.
- Documentation & Correspondence: Maintain detailed records of scheduling changes, draft professional correspondence, and ensure case files are organized and accessible.
- Confidentiality: Maintain absolute discretion and strict confidentiality regarding sensitive client data and ongoing litigation strategies.
Experience and Qualifications:
- Education: Bachelor’s degree or an Associate’s degree in Legal Studies (or a Paralegal Certificate) is highly preferred.
- Experience: Minimum of 2–3 years of experience as a Legal Assistant, Legal EA, or Litigation Coordinator in a fast-paced law firm environment.
- Prioritization Skills: Proven experience supporting a multi-attorney team (ideally 4+ attorneys) and managing competing high-priority demands.
- Legal Knowledge: Solid foundational understanding of litigation workflows, legal terminology, and how court timelines operate.
- Technical Proficiency: Proficient in Google Workspace (Gmail, Google Calendar) and Microsoft Office (Word, Excel). Experience with legal practice management software is a strong plus.
