Role
You'll lead Kodiak's maintenance coordination team — a small group of Maintenance Coordinators handling day-to-day repair requests, vendor communication, and inspections for a growing U.S. property management company. This is a hands-on leadership role: you'll still carry real maintenance casework yourself, but your primary job is making sure your team's work is accurate, timely, and consistent — and stepping in personally when a situation needs judgment, escalation, or a hard conversation with a client.
You own the maintenance department end-to-end — not just your own tasks, but the outcome of the whole operation. Tickets get triaged and closed correctly, vendors stay accountable, inspections happen on schedule, clients get clear and honest explanations of what's being done and why it's worth the cost, and tenants and properties are offboarded cleanly and correctly, including security deposit disposition. You are the team's first — and for most day-to-day matters, only — point of escalation; coordinators bring problems to you before they go to ownership, and issues get caught and resolved before they ever land on your manager's desk.
What You'll Do
Lead your team
- Lead and delegate to a team of Maintenance Coordinators — assign and balance workload rather than absorbing it all yourself
- Serve as the first point of escalation for your team — coordinators bring problems to you
- Train, coach, and mentor coordinators; run regular one-on-ones and give direct, constructive feedback
- Own coverage planning for the team — know who can cover what, and close gaps proactively instead of just covering them yourself
- Provide input on team members' performance and readiness to advance
Run the department
- Own the maintenance ticket queue end-to-end — general requests, escalated tickets, and turnover-related tickets — and hold your team accountable for accurate, timely, correctly-closed work
- Keep the vendor list current and accurate; review and reconcile maintenance billing and vendor invoices, and approve routine invoices within your approval authority
- Oversee scheduling, review, and quality of periodic and quarterly property inspections, including field-runner performance and the quarterly air filter delivery program
- Oversee turnover inspections — video walkthroughs, punch lists, required documentation — and the vendor and costing decisions that follow
- Write and send turnover financial overview emails to clients — explaining repair costs, timelines, and decisions in plain terms
- Have detailed, sometimes difficult conversations with clients about maintenance needs, cost, and timeline — explaining the “why,” not just the “what”
- Identify maintenance-related lease violations (property condition, unauthorized pets, upkeep, etc.)
- Own property and tenant offboarding, including security deposit disposition
- Handle after-hours emergency maintenance calls when your team can't resolve them (typically just a few each month)
- Own and maintain your team's process documentation, FAQs, and owner/vendor communication templates
- Other responsibilities as needed — if it's a gap in maintenance operations, it's yours to identify and close, not just yours to be told about

You're a Strong Fit If You Have
- Real maintenance / property management knowledge — you can look at a repair issue, know roughly what it should cost and how long it should take, and explain that to a non-expert
- Proven experience leading, training, or supervising other people — not just doing the work well yourself
- The judgment and confidence to have a detailed, sometimes uncomfortable conversation with a property owner about cost, timeline, or a mistake — and keep the relationship intact
- Strong systems for tracking a team's work, not just your own — nothing gets missed because you use a system, not because you're personally doing it all
- The discipline to delegate — you catch yourself before quietly taking over your team's tickets just because it's faster
- An ownership mentality — you'd rather find and fix a gap yourself than wait to be told it exists
Nice to Have (Not Required — We'll Train)
- Prior experience specifically in property management maintenance coordination
- Familiarity with Property Meld, Buildium, RentCheck, or similar maintenance/inspection platforms
- Trades background (HVAC, plumbing, electrical, general handyman knowledge)
- Monday.com experience
Requirements
- Fluent English, minimal accent — you should be easily understood by clients and vendors on the phone without anyone needing to ask you to repeat yourself
- Comfortable owning full cost and financial conversations with clients, not just status updates
- Reliable, professional phone/email communication
- Proficient with basic computer/web/phone systems, and able to pick up new platforms quickly
- Comfortable using technology to manage large and complex workloads and projects
- Able to work independently and lead others after initial training
- Team player, positive attitude, adheres to deadlines
