Position Summary
The property manager assistant serves as the primary point of contact for residents and plays a critical role in ensuring exceptional customer service throughout the resident
lifecycle. This position supports Property Managers, Maintenance Coordinators and Operations teams by managing resident communications, assisting with renewals and compliance processes, maintaining accurate documentation, and ensuring operational efficiency across the Property Management POD.
This position requires full availability from 8 AM to 5 PM, Monday through Friday Central Time (CT), strong communication skills, attention to detail, problem-solving abilities, and a commitment to delivering a positive resident experience while supporting company policies and compliance standards.
Key Responsibilities
● Serve as the first point of contact for resident inquiries via phone, email, resident portal,
and other communication channels.
● Respond to resident concerns professionally and within established response timelines.
● Assist residents with portal access, payment questions, lease-related inquiries, and
community guidelines.
● Conduct resident follow-ups and satisfaction check-ins.
● Maintain detailed communication records in AppFolio.
Leasing, Move-In & Renewal Support
● Running rental applications from initial application submission through move-in
● Assist with pre-move-in communications and resident onboarding.
● Coordinate renewal outreach and follow-up activities.
● Communicate renewal terms approved by Property Managers.
● Document renewal interactions and resident responses.
Compliance & Delinquency Support
● Assist with compliance notices, lease violations, HOA communications, and city
requirements.
● Support delinquency communication efforts through payment reminders and follow-up
correspondence.
● Maintain accurate records related to compliance and collections activities.
Billing & Vendor Invoice Administration
● Review and enter vendor invoices into company systems accurately and timely.
● Verify billing information, vendor details, invoice amounts, and supporting documentation before submission.
● Ensure maintenance and service-related invoices are properly matched to the correct
property, work order, and vendor.
● Identify discrepancies in invoices and coordinate with vendors, Maintenance
Coordinators, or Property Managers for resolution.
● Maintain organized billing records and documentation to support accounting and
operational processes.
● Assist in ensuring all billing entries are complete, accurate, and submitted within
company deadlines.
Administrative Documentation
● Maintain accurate records and notes in AppFolio and related systems.
● Complete communication audits and documentation reviews as required.
● Support POD reporting, KPI tracking, and operational workflows.
Qualifications
● Previous experience in property management, customer service, resident relations, or
administrative coordination preferred.
● Strong verbal and written communication skills.
● Excellent organizational and time-management abilities.
● High attention to detail, particularly regarding documentation and billing accuracy.
● Ability to manage multiple priorities in a fast-paced environment.
● Experience with AppFolio, Google Workspace, or property management software is
preferred.

Pay: $21,000.00 - $24,000.00 per month
