About Green Attic
Green Attic is a Chicagoland home services company specializing in attic insulation, air sealing, energy efficiency upgrades, ventilation, roofing support, and residential home improvement services.
We are looking for an experienced Admin Assistant who can support daily operations, customer communication, scheduling, job tracking, and follow-up for a busy insulation and home services company.
This is not a basic virtual assistant or data entry role. We need someone who already understands how U.S. contractor and insulation companies operate.
Required Experience
To be considered, you must have:
- At least 5 years of experience as an Admin Assistant, Office Assistant, Operations Assistant, or Project Coordinator for a U.S.-based company
- At least 3 years of direct experience working with a U.S.-based insulation company or insulation-related home services company
- Experience supporting estimates, schedules, invoices, customer files, job notes, crews, and follow-ups
- Experience communicating with U.S. homeowners, vendors, field crews, estimators, and internal team members
- Strong written and spoken English
- Experience using CRM systems, Google Workspace, spreadsheets, calendars, and project/task management tools
- Ability to work during U.S. Central Time business hours
Important Requirement
Applicants must have real U.S. insulation or contractor office experience. If you have only worked as a general VA, data entry assistant, or customer service representative without construction, contractor, or insulation experience, this role is not a fit.
Key Responsibilities
- Answer calls, emails, texts, and customer inquiries professionally
- Schedule estimates, site visits, inspections, service appointments, and follow-ups
- Update customer records, job notes, lead information, and internal trackers
- Organize estimates, invoices, photos, contracts, service notes, and project files
- Follow up with customers, vendors, crews, estimators, and internal team members
- Track open leads, pending estimates, scheduled jobs, completed jobs, and customer follow-ups
- Support the sales, production, estimating, and leadership teams with daily admin tasks
- Maintain accurate records in CRM systems, spreadsheets, calendars, and shared folders
- Prepare simple daily updates, task lists, schedules, and reports
- Help prevent missed leads, missed follow-ups, scheduling mistakes, and communication gaps

- Jobber
- ClickUp
- ServiceTitan
- Housecall Pro
- Buildertrend
- Google Workspace
- Microsoft Excel or Google Sheets
- Other CRM or project management platforms
