Purchasing Supervisor – Nursing Home

Position Summary
We are seeking a highly organized and detail-oriented Purchasing Supervisor to oversee the procurement function for our nursing home organization. This individual will be responsible for managing purchasing activities, supervising purchasing staff, maintaining vendor relationships, ensuring timely delivery of supplies, monitoring inventory levels, and controlling costs while ensuring uninterrupted operations across our facilities.
The ideal candidate is proactive, analytical, able to work independently, and experienced in purchasing, inventory management, and vendor negotiations, preferably within healthcare, long-term care, or a related industry.
Key Responsibilities
- Supervise and support the day-to-day activities of the purchasing department.
- Oversee the procurement of medical supplies, nursing supplies, dietary items, housekeeping products, office supplies, maintenance materials, and equipment.
- Review and approve purchase orders to ensure accuracy, budget compliance, and timely processing.
- Monitor inventory levels and coordinate with department managers to maintain appropriate stock levels while minimizing waste and overstocking.
- Establish and maintain strong relationships with vendors, suppliers, and distributors.
- Negotiate pricing, contracts, and service agreements to achieve cost savings and favorable purchasing terms.
- Compare vendor pricing and identify opportunities for standardization and process improvements.
- Track deliveries, resolve order discrepancies, and address vendor performance issues.
- Collaborate with Nursing, Dietary, Housekeeping, Maintenance, and Administration teams to anticipate purchasing needs.
- Develop and implement purchasing policies, procedures, and best practices.
- Analyze purchasing trends and prepare reports on expenditures, cost savings, inventory usage, and vendor performance.
- Ensure compliance with company policies, healthcare regulations, and audit requirements.
- Assist with annual budgeting and forecasting related to supply and procurement expenses.
- Train, mentor, and evaluate purchasing team members.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Healthcare Administration, or a related field preferred.
- Minimum of 3 years of purchasing experience, with at least 1–2 years in a supervisory role.
- Experience in healthcare, long-term care, nursing home operations, or a highly regulated environment strongly preferred.
- Strong negotiation, communication, and vendor management skills.
- Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Excel, and experience with purchasing, inventory, or ERP systems.
- Strong analytical and problem-solving abilities.
- Ability to work independently while effectively leading a team.
- High level of accuracy, accountability, and attention to detail.
