Position Summary
The Operations & Systems Manager is responsible for overseeing company systems, tracking key performance metrics, managing vendor relationships, and supporting marketing campaign execution. This role ensures operational efficiency by maintaining and optimizing CRM platforms, troubleshooting software issues, and providing data-driven insights to leadership.
The ideal candidate is analytical, systems-oriented, detail-focused, and comfortable working across operations, marketing, and technology.
Key Responsibilities1. Performance & Metrics Management
- Track, analyze, and report on company-wide performance metrics and KPIs
- Build and maintain dashboards to monitor sales, marketing, and operational performance
- Provide weekly and monthly reports to leadership
- Identify trends, gaps, and opportunities for operational improvement
- Recommend data-driven strategies to improve company performance
2. CRM & Systems Management
- Manage and maintain company CRM platforms and operational software systems
- Troubleshoot system issues and coordinate with vendors or IT support as needed
- Ensure data integrity, accurate reporting, and proper system usage
- Implement system improvements and workflow automations
- Train team members on CRM usage and best practices
- Evaluate new software tools to improve efficiency and scalability
3. Vendor Management
- Serve as primary point of contact for company vendors and service providers
- Negotiate contracts, renewals, and service agreements
- Monitor vendor performance and ensure service-level expectations are met
- Track vendor expenses and ensure alignment with budget
- Research and recommend new vendors when necessary
4. Marketing Campaign Operations
- Set up and manage marketing campaigns within CRM and automation systems
- Track campaign performance metrics (leads, conversions, ROI, etc.)
- Coordinate with marketing and sales teams to ensure proper campaign execution
- Maintain marketing automation workflows and reporting systems
- Optimize campaigns based on performance data
QualificationsEducation & Experience
- Bachelor’s degree in Business, Operations, Marketing, Information Systems, or related field (preferred)
- 3–5+ years of experience in operations, systems management, CRM administration, or marketing operations
- Experience managing CRM platforms (e.g., Salesforce, HubSpot, Zoho, etc.)
Skills & Competencies
- Strong analytical and reporting skills
- Proficiency in CRM systems and marketing automation tools
- Excellent troubleshooting and problem-solving abilities
- Strong organizational and project management skills
- Vendor negotiation and relationship management experience
- Advanced proficiency in Excel/Google Sheets and reporting dashboards
- Excellent communication skills
