Executive Assistant to the C-Suite / Mexico-Based / Remote position for Global Company
This Remote position offers the flexibility to work from anywhere in Mexico. Occasional travel may be required for key meetings, conferences, or team events, to México, US and Asia.
The Executive Assistant to the C-Suite provides high-level administrative, operational, and strategic support. This role requires exceptional organizational skills, discretion, strict confidentiality, proactive problem-solving, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is a trusted partner who can anticipate needs, streamline operations, and act as a liaison between the C-Suite and internal and external stakeholders.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling meetings, travel, and logistics with accuracy and foresight
- Serve as a gatekeeper and primary point of contact
- Prepare agendas, presentations, reports, and briefing materials for meetings and board-related activities
- Track follow-ups, action items, and deadlines to ensure timely execution
Operational & Strategic Support
- Support operational initiatives by coordinating cross-functional meetings and projects
- Assist with data gathering, analysis, and reporting for operational metrics and performance reviews
- Help improve internal processes, workflows, and documentation scope & help document these processes
- Maintain the confidentiality of sensitive company and personnel information
Communication & Coordination
- Draft, review, and manage internal and external communications on behalf of senior leadership
- Coordinate with senior leaders, department heads, and external partners
- Represent senior leadership with professionalism and sound judgment in meetings and correspondence
Administrative Management
- Manage expense reports, invoices, and budget tracking as needed
- Maintain organized digital and physical filing systems
- Assist with onboarding, offboarding, and special projects as assigned
Qualifications
Required
- 5+ years of experience supporting senior executives, preferably in an operations or C-suite environment
- Proven ability to manage complex schedules and multiple priorities
- Exceptional written and verbal communication skills in English
- High level of professionalism, discretion, and integrity
- Strong proficiency in Microsoft Office and/or Google Workspace
- Passport / American Visa up to date, or willing to apply if necessary (traveling to United States, Mexico, Asia)
Preferred
- Experience supporting operations-focused senior leadership
- Familiarity with project management tools (e.g., Asana, Monday, Notion)
- Experience in [industry, if applicable]
- Bachelor’s degree or equivalent experience

USD 1800 per month (as a contractor)

WORKING HOURS:
Monday to Friday, 7:00 AM to 5:00 PM
