Real Estate Operations & Transaction Coordinator
Location: Remote Type: Full-Time Hours: 10:00 AM – 7:00 PM
Compensation: $1,200 USD/month base + $50 bonus per closed transaction

This is a dynamic, multi-faceted role that sits at the intersection of real estate operations, client experience, and business administration. You'll be trusted with real responsibility — owning processes end-to-end, keeping deals on track, and ensuring nothing falls through the cracks.

What You'll DoTransaction Coordination (Primary Focus)
- Manage all phases of real estate transactions from contract to close, ensuring deadlines, contingencies, and compliance requirements are met
- Serve as the central point of contact between buyers, sellers, agents, lenders, title companies, and attorneys
- Prepare, review, and organize transaction documents; maintain accurate digital files throughout each deal
- Track critical dates and proactively communicate status updates to all parties
- Identify and resolve issues before they become problems
Client Communication & CRM
- Manage the CRM database — keeping contacts, lead statuses, and follow-up sequences up to date
- Handle inbound and outbound client communications in a professional, warm, and timely manner
- Coordinate client touchpoints, gift delivery, referral outreach, and past client nurture campaigns
- Draft email templates, scripts, and communication sequences as needed
Marketing & Social Media
- Support execution of social media content — scheduling posts, sourcing graphics, coordinating with content creators
- Assist with listing marketing tasks including coordinating photography, creating property descriptions, and uploading to MLS/portals
- Help manage email newsletters, market reports, and other outbound marketing materials
Calendar & Scheduling
- Manage appointment scheduling, showing coordination, and meeting logistics
- Maintain the principal's calendar, anticipating conflicts and ensuring proper prep time before key meetings
- Handle follow-ups and reminders so nothing is missed
Vendor & Contractor Management
- Maintain a curated vendor network (inspectors, cleaners, stagers, contractors, photographers, etc.)
- Coordinate vendor scheduling and follow up on work completion
- Source new vendors as needed and track performance and pricing
What We're Looking For
- 1+ year of experience in real estate operations, transaction coordination, or a similar administrative/operational role
- Strong working knowledge of real estate transaction processes (experience with a real estate team or brokerage is a major plus)
- Excellent written and verbal communication — you represent us to clients and partners
- Proficient with tools like Google Workspace, Podio, DocuSign, and MLS platforms
- Highly detail-oriented with the ability to juggle multiple open transactions and projects simultaneously
- Proactive by nature — you don't wait to be told; you spot what needs doing and do it
- Comfortable working independently in a remote environment with minimal hand-holding
- Professional, discreet, and trustworthy with sensitive client information
Bonus Points
- Experience with social media scheduling tools (Later, Hootsuite, Canva, etc.)
- Background supporting a high-producing agent, team, or real estate investor
- Familiarity with transaction management platforms (Dotloop, SkySlope, or similar)
