Service Coordinator – Fire & Life Safety

About the role:
The Service Coordinator is the heartbeat of our operations. You are the first voice clients hear when something goes wrong, the person who keeps technicians moving, and the one who makes sure nothing falls through the cracks. This is not just a desk job, it protects lives.
What you'll do:
- Answer and return service calls within 2 business hours; respond to emergency monitoring emails within 1 hour
- Create and manage service orders from open to close, full ownership
- Schedule inspections 3 weeks in advance and coordinate client confirmations
- Support field technicians with parts, information, and scheduling
- Review morning monitoring reports and follow up on deficiencies within 4 hours
- Submit inspection reports to clients and AHJs every Wednesday and Friday
- Order parts and materials for next-day services by 12 PM daily
- Maintain inbox at zero, every item gets a resolution plan before end of day
- Document client preferences, outcomes, and recurring issues in our CRM
- Notify AHJ of any system impairment within 8 hours (per NFPA 72)
What we're looking for:
- Strong communicator, clear, calm, and professional on the phone and in writing
- Detail-oriented and highly organized, you track things until they're done
- Problem-solver who doesn't wait to be asked
- Comfortable with learning new tools and processes
- Experience in service coordination, dispatch, or administrative support preferred
