Job Overview
Bespoke Psychiatry is looking for an experienced Patient Care & Administrative Coordinator to support our Outpatient (OP) practice in Chicago, IL. We need a professional who already understands the inner workings of a US medical office, can seamlessly navigate patient care coordination, and possesses native/fluent English communication skills.

Key Responsibilities
- Patient & Practice Communication: Handle inbound/outbound calls, emails, and patient portal messages with high empathy, professionalism, and native-level fluency.
- Practice Workflow & Scheduling: Manage patient intake forms, schedule appointments, assign portal access, and assist providers with daily operational tasks.
- Prior Authorizations & Insurance: Coordinate medication prior authorizations, verify insurance eligibility (copays, deductibles, HMOs), and communicate with insurance carriers.
- Compliance & Daily Operations: Maintain strict HIPAA compliance, check state monitoring tools (e.g., ILPMP), and relay messages accurately between providers and patients.
Mandatory Requirements (Must-Haves)
- US Medical Office Experience: MUST have at least 1–2 years of experience working for a based medical practice, psychiatric clinic, or healthcare provider (e.g., as a Virtual Medical Assistant, Patient Coordinator, or Front Desk Admin).
- English Proficiency: Must speak and write fluent/native-level English. Excellent phone etiquette and clear written communication with US-based patients and providers are essential.
- Healthcare Knowledge: Familiarity with US health insurance concepts (copays, deductibles, Prior Auths), EHR/EMR software, and HIPAA regulations.
- Reliable Setup: High-speed internet, a quiet home-office setup, and availability during US Central Standard Time (CST) hours.
Nice-to-Have
- Experience with psychiatric or mental health outpatient services.
- Direct experience with Illinois state tools (ILPMP) or prior authorization portals.
- Proven experience as an office administrator, medical receptionist, or similar virtual assistant role (healthcare experience is highly preferred).
- Excellent verbal and written communication skills in English, with a professional and empathetic phone demeanor.
- Outstanding organizational and multitasking abilities, with sharp attention to detail.
- Ability to work independently and collaborate effectively with a remote team of healthcare providers.
