En este puesto, serás responsable de supervisar el funcionamiento eficiente y fluido de la oficina, brindando un apoyo sólido y confiable a las operaciones de la empresa y garantizando la excelencia operativa. Esta posición es clave para asegurar un entorno de trabajo bien organizado, apoyar a los colaboradores y fomentar una experiencia positiva en la oficina.
Contarás con excelentes habilidades interpersonales y de comunicación, y tendrás la confianza para interactuar con personas de todos los niveles de la organización con sensibilidad, tacto y diplomacia. Deberás ser capaz de mantener la calma bajo presión, trabajar con plazos ajustados y demostrar un enfoque proactivo para planificar, delegar y priorizar tareas.
El puesto reporta formalmente a la Head of Business Infrastructure and Operations y forma parte del área Core, que incluye los equipos de Business Infrastructure and Operations, People & Culture, Finance y Legal.
Para tener éxito en esta posición, deberás ser capaz de mantener una visión estratégica del negocio, pero al mismo tiempo estar dispuesto(a) a involucrarte directamente en las actividades operativas del día a día. Además, será fundamental que seas una persona organizada, eficiente y con gran atención al detalle.
Debido a la naturaleza de este puesto, se requiere presencia presencial en la oficina cinco días a la semana, con flexibilidad para revisar este esquema de trabajo en el futuro.

Act as the main point of contact for all office-related queries
- Oversee the day-to-day running of the office to ensure a smooth and efficient working environment
- Manage all aspects of the office’s space/infrastructure planning (including but not limited to office moves, & desk/workstation layout) providing solutions as needed
- Ensure compliance with local health & safety regulations and company policies
- Act as a representative of Core in the local office, supporting with central processes, with the ability to triage and refer queries to relevant Core departments for specialist attention
- Identify and fulfil office supply & equipment needs, cultivating and managing supplier relationships
- Manage and report on budget for local office activities and purchasing
- Provide administrative support to the local office, senior management and wider BIO team as needed, including but not limited to scheduling appointments, meetings, booking travel, printing and shipping packages
- Define & maintain local office policies in line with company procedures
Required attributes:
- Previous experience in an international company in an operational role, ideally in a professional services industry
- Relevant experience across multiple operational disciplines, ideally in project management, finance, consulting, start-ups, or other relevant industry track
- Attention to detail, excellent coordination, time management and organisational skills.
- The ability to draft correspondence and to produce well-presented reports, guidance, and instructions
- Strong team player with excellent interpersonal skills and the ability to build effective relationships at all levels
- Adept at managing a varied workload with the ability to multi-task and re-prioritise in a fast-paced and demanding environment
- Ability to use initiative, forward think and work under pressure, with a willingness to proactively take on new tasks
- Advanced Microsoft Office skills, particularly Outlook (diary management), MS PowerPoint, Excel & Word
- Written and spoken fluency in Spanish (C2 level)

Desirable attributes:
- Proven work experience managing an end-to-end office move and refurbishment project
- Experience with spreadsheets, database management, or financial reporting
- Knowledge of local employment law and practices
