Join a dynamic commercial real estate development firm as an Executive Assistant dedicated to supporting our executive team and ensuring the smooth operation of our office. This role offers a unique opportunity to be at the heart of high-impact projects, while coordinating administrative functions and acting as an unofficial Cheif of Staff for 17 other remote team members. Responsibilities
- Provide comprehensive executive administrative support, including calendar management using Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and deadlines are organized efficiently.
- Coordinate project-related activities by assisting with document preparation, proofreading, transcription, and data entry to support ongoing development initiatives.
- Manage office operations seamlessly by overseeing filing systems, handling phone etiquette on multi-line phone systems, and maintaining office supplies and equipment.
- Plan and execute company events, meetings, and client engagements through detailed event planning and logistics coordination.
- Utilize Appfolio for basic financial tasks such as extracting financial statements, invoicing, expense tracking, and financial record keeping to support the firm’s financial health.
- Provide exceptional customer service for incoming office calls, greeting visitors professionally and directing inquiries promptly.
- Support personal assistant duties for executives including travel arrangements, personal scheduling, and confidential correspondence.
- Maintain organized records through filing systems and ensure all documentation complies with company standards and confidentiality requirements.
- Assist with office management tasks such as overseeing office supplies inventory, managing office equipment maintenance, and supporting team communication efforts.
Qualifications
- Proven experience as an executive assistant or in an administrative role within a professional office environment; experience in commercial real estate or project coordination is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
- Skilled in event planning, calendar management, data entry, proofreading, transcription, and clerical support functions.
- Experience using Appfolio
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- Ability to handle confidential information discreetly while demonstrating strong attention to detail.
- Effective communication skills—both written and verbal—and a customer service-oriented mindset.

Pay: $20,000.00 - $30,000.00 per month
