Position Summary
The Facilities & Project Manager oversees facilities and workplace coordination while building internal process management functions. This role documents operational workflows across departments, audits processes against internal standards and client requirements, and drives continuous process improvements. Additionally, this position supports compliance efforts through evidence collection and data population for audit frameworks.
Responsibilities:
- Manage facilities tickets routine, maintenance physical access, administration, workstation, allocations, and asset inventory.
- Report monthly facilities volume resolution time and recurring issue trends.
- Conduct departmental audits against internal standards and client SLAs to verify operational compliance.
- Build and maintain standard operating procedures, map workflows, and manage a process improvement backlog.
- Collect SOC 2 evidence, maintain physical security logs, and assist with audit reviews and vendor documentation.
- Prepare site logistics for client visits, coordinate workstation readiness for operational ramps, and track facilities invoices and vendor renewals.
Requirements:
- Three or more years of experience in business process improvement internal audit quality assurance operations coordination or facilities management.
- Professional working proficiency in written and verbal English.
- Demonstrated experience documenting and mapping processes clearly for organizational use.
- Experience working within a ticketing or work order management system.
- Comfort gathering information from departments outside direct reporting lines.
- Proficiency with Google Workspace or Microsoft Office equivalents.
- Onsite availability in Monterrey Mexico.
- Analytical curiosity and ownership mindset with strong problem solving capabilities.
- Strong documentation instincts and audit mindset to verify rather than assume operational data.
- Diplomatic persistence and sound judgment on escalation management.
Nice to Have:
- Process mapping or continuous improvement methodology experience such as Lean Six Sigma or BPM.
- Internal audit or quality management systems experience such as ISO 9001 SOC 2 or ISO 27001.
- Experience working in a BPO shared services or multi client environment.
- Familiarity with client service level agreements and contractual requirement structures.
- Vendor management and basic budget tracking experience.
- Interest in process automation and internal tooling.
What Success Looks Like:
- Achieving complete departmental process documentation and audit coverage on an annual cycle.
- Ensuring full verification of client contractual requirements against actual operational practice.
- Maintaining an active library of documented processes with assigned process owners.
- Implementing process improvements with measured operational impact and efficiency.
- Routing the vast majority of facilities requests through official ticketing systems.
- Populating compliance and audit evidence items on schedule without service level degradation.
- Delivering comprehensive monthly facilities reports baseline trends and departmental audit findings.
