Position Summary
We are looking for a Personal Injury Intake Specialist to support new client intake, lead qualification, client communication, and case onboarding workflows for a legal services operation. This role will be one of the first points of contact for prospective clients seeking legal support related to personal injury matters.
The Personal Injury Intake Specialist will manage inbound and outbound communication, gather case details, enter information into legal intake systems, follow up on missing documentation, schedule consultations, and support warm handoffs to the legal team. This position requires previous personal injury intake experience, strong English communication skills, attention to detail, empathy, urgency, and experience using Lead Docket or similar legal intake platforms.
Responsibilities:
- Manage inbound and outbound intake communication with prospective clients through phone, email, and internal systems.
- Conduct initial intake screenings by gathering case details, incident information, injury information, treatment status, insurance details, and contact information.
- Enter and update lead and case information in Lead Docket or similar legal intake and case management platforms.
- Follow up with prospective clients to obtain missing information, documentation, medical provider details, accident reports, photos, insurance information, and other intake materials.
- Help qualify potential cases based on established intake criteria and escalate strong opportunities to the appropriate internal team member.
- Maintain professional communication with potential clients, attorneys, case managers, medical providers, and internal legal staff.
- Document every interaction clearly in the intake system.
- Support appointment scheduling, consultation coordination, and warm handoffs to attorneys or legal team members.
- Handle high volume intake activity while maintaining empathy, attention to detail, and urgency.
- Follow confidentiality, compliance, and data handling procedures when working with sensitive client and case information.
- Support case onboarding workflows by keeping intake information organized, updated, and ready for internal review.
Requirements:
- Previous experience in personal injury intake or legal intake support.
- Experience using Lead Docket or similar legal intake and case management systems.
- Advanced English level for client facing phone, email, and internal communication.
- Experience handling client facing calls in a legal, healthcare, insurance, claims, or similar environment.
- Ability to gather sensitive information with empathy, patience, and professionalism.
- Strong documentation, follow up, and organizational skills.
- Comfortable working with CRM tools, case management systems, Google Workspace, Microsoft Office, email platforms, and internal tracking tools.
- Ability to manage multiple active leads or cases at the same time.
- Comfortable following intake criteria, scripts, internal workflows, and escalation processes.
- Ability to work during U.S. business hours.

Pay: $20,000.00 - $25,000.00 per month
