About the Role
A growing Los Angeles-based law firm is seeking an experienced Bilingual Remote Receptionist to serve as the first point of contact for our clients, potential clients, medical providers, attorneys, and other callers.
This is a high-volume, telephone-focused position requiring exceptional English fluency, excellent customer service, punctuality, sound judgment, and careful attention to detail.
The receptionist will screen incoming calls, identify the caller’s needs, determine the correct department or team member, transfer calls, take detailed messages, and enter accurate notes into the firm’s case-management system. The receptionist will also track messages and follow up internally to help ensure that calls are returned.
This is not an entry-level position. Applicants must have at least one year of law firm receptionist experience or professional remote office receptionist experience.
Responsibilities
- Answer incoming calls promptly with a warm and professional greeting.
- Serve as the first point of contact for clients, potential clients, attorneys, medical providers, insurance representatives, and other callers.
- Communicate professionally in both English and Spanish.
- Screen calls and ask appropriate questions to understand the caller’s needs.
- Identify the correct attorney, department, or staff member for each call.
- Transfer calls accurately and efficiently.
- Take complete messages when the appropriate team member is unavailable.
- Confirm important information, including the caller’s name, telephone number, email address, reason for calling, and preferred callback method.
- Enter clear, detailed, and accurate call notes into the firm’s case-management system.
- Document all call transfers, messages, and follow-up requests.
- Notify the appropriate team member of urgent or time-sensitive calls.
- Track pending callback requests and follow up internally when necessary.
- Assist callers calmly and respectfully, including those who may be upset, injured, or dealing with stressful circumstances.
- Protect confidential client, medical, and legal information.
- Follow the firm’s call-handling procedures, scripts, and escalation protocols.
- Remain available and ready to answer calls throughout the scheduled workday.
- Assist with additional administrative and client-service duties as assigned.
Required Qualifications
- At least one year of law firm receptionist experience or professional remote office receptionist experience.
- Fluent English and Spanish, both spoken and written.
- C1 Advanced or C2 Proficient English strongly preferred.
- Exceptional English pronunciation, comprehension, and professional communication skills.
- Professional, confident, clear, and welcoming telephone presence.
- Excellent customer-service and interpersonal skills.
- Experience answering and routing a high volume of telephone calls.
- Ability to determine the correct person or department for each call.
- Ability to take detailed and accurate messages while actively listening.
- Strong spelling, grammar, typing, and data-entry skills.
- Excellent punctuality, attendance, and reliability.
- Ability to remain calm and professional when assisting frustrated or emotional callers.
- Ability to manage multiple calls, messages, and priorities without losing accuracy.
- Experience using a case-management system, CRM, or similar office software.
- Ability to handle confidential legal and personal information professionally.
- Must be located in Mexico.
- Must be available Monday through Friday from 8:30 AM–5:30 PM Pacific Time.

Preferred Qualifications
- Previous receptionist experience with a Personal Injury or civil litigation law firm.
- Experience communicating with law firm clients, attorneys, medical providers, and insurance representatives.
- Experience using legal case-management software.
- Experience with cloud-based telephone and call-routing systems.
- Familiarity with confidential legal and medical information.
