Overview
We are seeking a dynamic and highly organized Lead Intake and Executive Assistant to join our team. This pivotal role combines the responsibilities of calling incoming leads and turning them into appointments, coordinating project activities, and providing comprehensive administrative support to ensure smooth daily operations. Responsibilities
- Serve as the first point of contact for calls, emails, and inquiries, demonstrating excellent phone etiquette and customer service skills.
- Manage complex calendar schedules using Microsoft Outlook Calendar and Google Workspace, coordinating appointments, meetings, and deadlines with precision.
- Provide executive administrative support by preparing correspondence, proofreading documents, transcribing notes, and maintaining accurate filing systems.
- Oversee office management duties including data entry, filing, and maintaining office supplies to ensure a well-organized workspace.
- Assist with event planning logistics for meetings, seminars, or company events, including venue coordination and material preparation.
- Coordinate project activities by tracking progress, preparing reports, and ensuring timely completion of deliverables.
Requirements
- Proven experience in sales, cold calling is necessary.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Experience with data entry, filing systems, and clerical tasks to support daily operations seamlessly.
- Knowledge of QuickBooks or similar accounting software for bookkeeping functions is preferred.
- Exceptional communication skills demonstrating professional phone etiquette across multi-line phone systems.
- Ability to handle sensitive information discreetly while maintaining high levels of confidentiality.
- Prior experience in event planning, project coordination, or front desk responsibilities is highly desirable.
