Opportunity
As the Conference Logistics and Social Media Marketing Administrator, you will play a vital role in driving ChartRequest's brand presence and customer acquisition strategy through strategic event marketing and digital engagement. You will own the end-to-end lifecycle of conference marketing—from identifying and securing high-impact sponsorships, to planning logistics and booth operations, to executing pre- and post-conference email campaigns that convert leads into opportunities. Simultaneously, you will manage our social media channels with brand-aligned messaging, leveraging AI tools to generate compelling content, schedule posts, and analyze engagement metrics. This is an opportunity to leverage your expertise in event marketing and AI-powered content creation to amplify our brand, generate measurable ROI, and shape how we engage with the healthcare technology community.
Primary Responsibilities
Pre-Conference Planning & Coordination
- Identify, evaluate, and secure conference sponsorships that align with ChartRequest's customer acquisition and brand positioning strategy
- Develop pre-conference marketing campaigns: email sequences, LinkedIn content, and attendee engagement materials
- Coordinate logistics for conference attendance: booth design, materials, travel arrangements, and team preparation
- Create conference-specific messaging and positioning documents for sales and marketing teams
During Conference Execution
- Manage booth operations, attendee engagement, and lead capture during the conference
- Coordinate team availability, meetings, and speaking opportunities
- Generate real-time social media content and updates from the conference
- Track leads, interests, and partnership opportunities for post-conference follow-up
Post-Conference Follow-Up
- Execute post-conference email campaigns and targeted outreach to new leads
- Synthesize conference learnings into market insights and competitive intelligence reports
- Measure conference ROI and provide detailed reporting to leadership
- Nurture conference relationships and build ongoing communication cadence
Social Media Management & AI-Powered Operations
- Manage ChartRequest's LinkedIn, Twitter, and other social channels with consistent, brand-aligned messaging
- Use AI tools (Claude, ChatGPT, LinkedIn automation) to generate content, schedule posts, and analyze engagement
- Create and manage content calendars aligned with product launches, company announcements, and industry events
- Monitor social channels for leads, sentiment, and brand opportunities
- Develop social media metrics and report on community growth and engagement
Qualifications:
- Demonstrated experience managing social media channels (LinkedIn, Twitter, Instagram) with ability to create or curate engaging content
- Experience with event marketing, conference planning, or tradeshow coordination (e.g., booth management, sponsor relations, lead generation)
- Proficiency with marketing automation platforms (HubSpot, Marketo) or CRM systems (Salesforce, Pipedrive)
- Familiarity with AI writing and content tools (Claude, ChatGPT, or equivalents) and ability to use them to amplify productivity
- Strong organizational and project management skills with ability to juggle multiple concurrent campaigns
- Excellent written communication with ability to adapt tone and messaging for different audiences
- Discretion and professionalism in handling confidential executive information
Preferred Qualifications:
- Experience in B2B SaaS, healthcare technology, or regulated industries
- Hands-on experience with Jira, Monday.com, or other project management tools
- Familiarity with EOS (Entrepreneurial Operating System) and L10 meeting structures
- Background in healthcare compliance or understanding of HIPAA/PHI considerations
- Experience with data analysis tools or ability to generate insights from social media and marketing metrics
- Bilingual English/Spanish capabilities a plus
