About the Role
We are hiring an Admin Assistant - Roofing to support our roofing and construction operations, with primary responsibility for material ordering, vendor coordination, and project material preparation.
This is not a basic administrative assistant position. We are looking for someone who understands construction materials and can review project information, determine what materials are needed, coordinate with suppliers, and make sure materials arrive correctly and on time.
Candidates with experience in roofing, construction materials, estimating, purchasing, architectural plans, or blueprints are strongly preferred.
Main Responsibilities
- Prepare roofing and construction material lists for upcoming projects
- Review project scopes, measurements, architectural plans, and blueprints
- Determine quantities and materials required for each project
- Contact suppliers and vendors for pricing and availability
- Request and compare material quotes
- Place and confirm material orders
- Verify pricing, quantities, colors, specifications, and delivery information before ordering
- Coordinate material deliveries with vendors and the production team
- Follow up on orders to prevent delays or missing materials
- Resolve incorrect, missing, damaged, or delayed material orders
- Maintain organized records of orders, pricing, vendors, and project materials
- Communicate proactively with management, production staff, vendors, and suppliers
Requirements
- Strong spoken and written English communication skills
- Excellent attention to detail
- Strong organizational and follow-up skills
- Comfortable communicating with U.S.-based vendors and suppliers
- Able to manage multiple projects and material orders at the same time
- Able to work independently without constant supervision
- Comfortable working with spreadsheets, email, project documents, and online systems
- Able to identify missing information and ask questions before placing an incorrect order
Preferred Experience
Candidates with any of the following will receive priority consideration:
- Roofing industry experience
- Construction administration or purchasing experience
- Knowledge of roofing materials, including shingles, underlayment, flashing, vents, decking, fasteners, and related accessories
- Experience working with construction suppliers or vendors
- Experience preparing material takeoffs or material lists
- Ability to read architectural drawings, roof plans, measurements, or blueprints
- Experience coordinating material deliveries for active construction projects
What We Are Looking For
We need someone who thinks beyond simply receiving instructions.
A strong candidate should be able to review a project, understand what is being installed, identify the required materials, verify quantities and specifications, communicate with vendors, and follow the order through delivery.
You should be proactive, accurate, organized, technically curious, and persistent with follow-up. A material order being placed is not considered finished until the correct materials are confirmed and delivered.
