About the role:
The Transaction Coordinator is responsible for managing and organizing all administrative aspects of the mortgage or real estate transaction process. This includes gathering documents, tracking deadlines, and ensuring clear communication between internal teams, clients, title companies, and agents. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and has a strong ability to manage multiple files simultaneously while maintaining exceptional customer service.
Key Responsibilities:
- Open and manage loan or transaction files from contract to close.
- Collect, review, and organize all required documents (purchase agreements, disclosures, insurance, title, etc.).
- Maintain detailed transaction timelines and ensure all deadlines are met.
- Act as a liaison between loan officers, processors, clients, title/escrow companies, and real estate agents.
- Input and update transaction information in the company’s CRM or LOS (Loan Origination System).
- Schedule inspections, appraisals, or closings as needed.
- Ensure all compliance and regulatory documents are completed and filed accurately.
- Provide consistent updates to all parties to keep everyone informed throughout the process.
- Identify and resolve any issues that may delay the closing process.
- Assist in post-closing follow-ups when necessary.
Requirements:
- High school diploma or GED required; associate degree or higher preferred.
- 1–2 years of experience in mortgage, real estate, title, or a similar administrative support role.
- Strong organizational skills with excellent attention to detail.
- Effective verbal and written communication skills.
- Ability to work in a fast-paced environment and handle multiple transactions simultaneously.
- Proficiency in Microsoft Office or Google Suite and industry software (e.g., Encompass, Salesforce, Dotloop, or similar).
- Customer-focused with a problem-solving attitude.
