Role Summary
The Senior Bookkeeper owns the complete monthly close for a portfolio of clients, working to a review-ready, CPA-ready standard — each client's books are delivered clean, reconciled, and ready for review without rework. Senior Bookkeepers are trusted with the full bookkeeping cycle, including accounts payable through Bill.com, and own their clients through completion: surfacing questions proactively, hitting scheduled cadences, and closing the loop rather than leaving items open.
Core ResponsibilitiesTechnical Bookkeeping & Reconciliation
- Perform full-cycle bookkeeping using cash OR accrual-basis accounting in accordance with U.S. GAAP.
- Reconcile bank accounts, credit cards, loan balances, and clearing accounts monthly.
- Manage and reconcile AR and AP, including aging review and payment application (AP via Bill.com).
- Execute payroll journal entry reconciliation, aligning payroll-provider records to the general ledger.
- Manage and reconcile inventory, including COGS calculations and adjustments.
- Perform multicurrency and brokerage account reconciliations, including investment activity and FX impacts.
- Reconcile e-commerce platforms (Shopify, Stripe, PayPal, etc.) to QuickBooks Online, resolving sync errors.
Quality Control & Review
- Review and QC bookkeeping work before client delivery, holding Stellar's accuracy/completeness standards.
- Conduct diagnostic reviews of new client books, identifying errors, misclassifications, and cleanup gaps.
- Perform cleanup engagements and historical bookkeeping reconstructions for onboarding clients.
- Keep books tax-ready and CPA-ready at all times, proactively flagging issues needing resolution.
Compliance & Tax Support
- Handle multi-state U.S. sales tax compliance: tracking, return preparation, and timely filing.
- Administer 401(k) reconciliation and plan-activity tracking.
- Maintain W-9 tracking and vendor compliance records for annual 1099 filing.
Team Collaboration & Close Discipline
- Collaborate with Account Managers to keep client deliverables accurate, complete, and on schedule.
- Complete each close on the client's cadence; use the end-of-month handoff system correctly (mark, note, circle back).
- Communicate clearly via Slack, escalating promptly and documenting resolution.
- Support new-client onboarding (QBO setup/config) and contribute to training junior bookkeepers.

Requirements
- Fluent professional English, written and spoken (hard requirement — US-based clients and team).
- 3–5+ years of bookkeeping experience with strong QuickBooks Online proficiency.
- US-based bookkeeping experience, including U.S. GAAP and accrual-basis accounting.
- Full-cycle reconciliation across bank, credit card, loan, and clearing accounts.
- AR and AP management incl. aging and payment application; comfort with an AP platform such as Bill.com.
- Multi-state U.S. sales tax experience, including a working understanding of economic nexus.
- Inventory and COGS accounting (important for gallery clients).
- Reliable availability during U.S. Eastern business hours.
- A clear, responsible approach to data integrity when using automation/AI tools.
Nice to Have
- A degree in accounting, finance, or a related field.
- Multicurrency / FX and brokerage/investment reconciliation experience.
- E-commerce platform reconciliation (Shopify, Stripe, PayPal) to QBO.
- Payroll JE reconciliation; 401(k) reconciliation; W-9 / 1099 compliance.
- Cleanup / historical reconstruction and QC/review experience.
- Familiarity with our stack: QuickBooks Online, Bill.com, Dext, Notion, Slack, Clockify, Gusto, Loom, Zoom.
- Experience serving art-industry clients (galleries, artists, arts organizations).
