Location: San Miguel de Allende (In-Office)
We’re looking for a highly organized, bilingual Operations Coordinator to support our sales, client relations, and finance teams.
This role is ideal for someone who is extremely responsive, detail-oriented, comfortable with numbers, and excellent at keeping information, payments, invoices, and client communication organized. No prior heavy experience required—we provide initial training!
Key responsibilities
- Respond quickly to new client inquiries and help keep conversations moving
- Organize WhatsApp, email, CRM, and client follow-up
- Schedule meetings, consultations, and site visits
- Assist with proposals, estimates, contracts, and client documents
- Organize and track invoices, receipts, vendor bills, and payments
- Enter and maintain information in QuickBooks
- Track payees, payment status, outstanding balances, and supporting documentation
- Coordinate with vendors, clients, and internal team members to collect missing information
- Maintain organized digital records and files
- Help ensure deadlines, follow-ups, payments, and next steps are not missed
We’re looking for someone who is
- Fluent in English and Spanish
- Very fast, responsive, and eager to learn and contribute
- Highly organized and detail-oriented
- Comfortable working with money, invoices, payments, and financial records
- Confident using or eager to learn QuickBooks
- Digitally savvy with tools like Google Drive, Slack, WhatsApp, CRM systems, and spreadsheets
- Professional when communicating with clients and vendors
- Able to manage multiple priorities without losing track of details
- Available to work in-office in San Miguel de Allende
