About the Role
This is the person who owns the operational backbone of our firm — our systems, our trackers, our document architecture, our vendor relationships, and the local events we show up at. You'll work directly with the Head of Firm Operations and have your hands in nearly every part of how we operate.
We're looking for someone who is naturally organized, takes pride in the details, and brings real ownership to the work — the kind of person who builds and maintains systems rather than just executes them. If you like variety, like systems, and like seeing things run smoothly, this role will suit you.
What You'll Do
- Own firm-wide trackers, organizational accountability chart, and operational spreadsheets
- Run our leadership scorecard, issues list, and weekly leadership meeting preparation
- Architect and maintain our folder structure and SOP library
- Review firm KPI dashboards, audit for accuracy, and flag inconsistencies
- Test new software and automations and document findings
- Lead logistics for local events the firm participates in
- Order and track swag, brochures, and event materials
- Own vendor relationships, subscriptions, and operational follow-through
- Investigate and resolve operational questions — including following up with vendors and service providers until you get the right answer
- Partner on firm-wide initiatives, events and projects with logistics, document organization, and cross-functional coordination
- Provide light tech triage on occasion when needed
Who We're Looking For
- 4+ years of operations or administrative experience
- Experience working remotely for US-based companies strongly preferred
- Highly organized, structured and detail-oriented
- Self-starter and resourceful
- Investigative and analytical — knows when an answer doesn't add up and presses for the right one
- Comfortable being dropped into unfamiliar work and figuring it out
- Confident on calls — comfortable pressing for answers, asking for supervisors, or escalating when needed
- Tech-savvy — quick to learn new tools and systems
- Discreet with confidential information
- Strong written and verbal English — comfortable in calls and meetings with US-based team members and vendors
- Legal background not required
