The Warranty Supervisor is responsible for overseeing warranty claim administration, validation, analysis, and resolution
processes while ensuring compliance with company policies and requirements. This role leads a team of warranty
analysts or coordinators, drives claim accuracy, improve recovery rates, minimizes financial risk, and enhances customer
satisfaction through efficient warranty operations.
Functions:
Warranty Operations Management
- Supervise daily warranty claim processing.
- Ensure warranty claims are reviewed, validated, and submitted accurately within established timelines.
- Monitor warranty performance metrics, claim aging, approval rates, and recovery trends.
- Maintain compliance with company and regulatory warranty requirements.
- Develop and implement standard operating procedures for warranty administration.
- Serve as the primary escalation point for complex warranty issues.
- Work closely with dealers, service centers, suppliers, OEMs, and internal departments.
- Communicate claim status, policy changes, and operational performance to management.
- Support customer satisfaction initiatives through effective warranty resolution.
Team Leadership
- Lead, coach, and develop warranty analysts, coordinators, or administrators.
- Establish performance objectives and conduct regular performance reviews.
- Provide training on warranty policies, systems, and compliance requirements.
- Promote a culture of accountability, continuous improvement, and customer focus.
Financial Control & Risk Management
- Monitor warranty reserves, claim recoveries, and financial exposure.
- Identify and mitigate fraudulent, duplicate, or non-compliant claims.
- Support internal and external audits related to warranty operations.
- Ensure proper documentation and record retention practices.
Process Improvement
- Analyze warranty trends and root causes to identify recurring issues.
- Collaborate with Quality, Product Engineering, Control Tower and Financial teams to reduce warranty costs.
- Recommend corrective and preventive actions based on warranty data analysis.
- Implement process enhancements aimed at improving cycle times and claim acceptance rates.
Reporting & Analytics
- Prepare weekly, monthly, and quarterly warranty performance reports.
- Track KPIs such as:
o Claim cycle time
o Warranty cost per unit
o Recovery rate
o Approval/rejection rate
o Aging claims
o Customer satisfaction metrics
- Present operational insights and improvement recommendations to leadership.
Requirements:
Required Qualifications
- Bachelor's degree in Business Administration, Engineering, Supply Chain, Operations Management, or related
field.
- 10 years of experience in warranty administration, after-sales operations, customer service, or technical
support.
- 1 to 3+ years of leadership or supervisory experience.
- Strong analytical and problem-solving skills.
- Experience with ERP, CRM, warranty, and claims management systems.
- Advanced proficiency in Microsoft Excel and reporting tools.
- Fluent English
Preferred Qualifications
- Automotive, manufacturing, heavy equipment, consumer goods, or industrial warranty experience.
- Knowledge of Lean, Six Sigma, or continuous improvement methodologies.
- Experience managing OEM or supplier warranty programs.
- Power BI or advanced analytics experience.
