We are seeking a dynamic and highly organized Executive Assistant to join our Real Estate team! Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette.
- Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
- Maintain organized filing systems—both digital and physical—and ensure data entry accuracy for records management.
- Support office management tasks such as supply ordering, equipment maintenance, and front desk duties including greeting visitors.
- Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices.
- Provide exceptional customer service by supporting clients and internal teams with their inquiries and needs promptly.
- Perform clerical duties such as data entry, proofreading documents, managing email correspondence, and scheduling travel arrangements.
- Coordinate personal assistant responsibilities including calendar management for executives and handling confidential information discreetly.
- Coordinate tenant maintenance requests and any lease renewals for long terms leases
- Manage social media account to deploy content
- Repurposing content & dripping emails to our existing database
- Handle multiple property logistics
- Process light financial payments and bookkeeping activities – opening and organizing mail, making payments, etc.
- Manage inbound seller data and leads in our CRM
- Willing to learn the industry and help us maintain and grow our marketplace position
Experience
- 2-4 years of previous experience as an Executive Assistant or in a similar administrative role within Real Estate.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Demonstrated experience managing multi-line phone systems and front desk operations.
- Bilingual abilities are highly desirable to support diverse client interactions.
- Previous experience with bookkeeping software like QuickBooks is a plus.
- Exceptional customer service skills combined with professional phone etiquette and proofreading capabilities.
- Familiarity with office management procedures including filing systems, calendar management, and clerical support functions.
- Self-motivated and results driven with proven ability to succeed – wants to grow both professionally and personally
- Ability to work some nights and weekends as needed
- Enthusiastic about best possible customer service for clients and customers
