About Us:
Alegro Industries is an independent electronic components distributor with 30 years of global operations. As we establish our Mexico headquarters in Guadalajara, we are seeking an organized, proactive Administrative Assistant to keep our office, billing, and procurement operations running smoothly from day one.
What you'll do
- Billing & Invoicing: Manage end-to-end invoicing workflows; generate, track, and deliver accurate billing documents to clients.
- Accounts Receivable: Follow up systematically on outstanding invoices and support overall collections.
- Procurement Support: Handle purchasing for office and operational needs, including vendor selection, purchase orders, and price negotiation.
- Record Keeping: Maintain flawless digital and physical records, including contracts, vendor agreements, and administrative files.
- Reporting: Prepare basic spending, procurement, and billing reports for leadership.
- Office Coordination: Support daily office operations, including scheduling, mail handling, and general workplace oversight.
What we need (Basic Requirements)
- Experience: 2+ years in administrative roles with direct experience in billing and invoicing (procurement experience is highly preferred).
- Language Skills: Advanced English proficiency for professional reading and writing within a global environment.
- Technical Skills: Solid command of Microsoft Excel for daily data management and report generation.
- Systems: Previous experience working with ERP or administrative software platforms.
- Key Traits: Highly organized, exceptional attention to detail, and comfortable working independently.
