Independent Contractor — Executive Operations Specialist

Capacity: Approximately 25–35 billable hours per week (if applicable), depending on mutually accepted projects and company needs; no minimum/maximum hours are guaranteed

About the Engagement
We are seeking an organized, proactive Executive Operations Specialist to support executive priorities and approved projects across multiple businesses.
This is an independent-contractor engagement focused on defined deliverables, deadlines, and results. The contractor will generally control how, when, and where the services are performed while maintaining a mutually agreed weekday coordination window during U.S. Central Time.
Key Responsibilities
- Maintain executive priority dashboards, task boards, deadlines, and follow-up records.
- Keep CRM contacts, notes, reminders, and business-development pipelines current.
- Document meetings, decisions, responsibilities, and next steps.
- Prepare concise weekly reports covering completed work, open items, blockers, and upcoming deadlines.
- Organize documents, trackers, checklists, templates, and standard operating procedures.
- Coordinate approved follow-up with clients, leads, agents, vendors, contractors, and team members.
- Conduct agreed property, company, market, vendor, and business research.
- Support mutually accepted projects involving operations, real estate, property management, construction, recruiting, marketing coordination, and business growth.
Initial 30-Day Priorities
- Review authorized systems, workflows, active priorities, and outstanding follow-up.
- Organize task boards, CRM records, contact lists, and executive priorities.
- Establish a consolidated dashboard and weekly reporting process.
- Document recurring workflows and recommend practical operational improvements.
Required Qualifications
- Experience providing executive-support, operations, administrative, CRM, or project-coordination services.
- Strong professional English communication skills.
- Ability to organize multiple projects, clients, departments, or business units.
- Experience with calendars, email, spreadsheets, cloud documents, and online collaboration tools.
- Strong attention to detail, independent judgment, and reliable follow-through.
- Reliable computer, internet access, and secure remote-work environment.
- Legal ability to provide and invoice for independent professional services from Mexico.
Preferred Experience
- Supporting a founder, CEO, entrepreneur, or multi-company organization.
- Real estate, property management, construction, property services, investment, or another service-based industry.
- Monday.com, Slack, Google Workspace, Microsoft Office, Canva, WhatsApp, CRM systems, or similar tools.
- Creating dashboards, procedures, checklists, templates, and reports.
Independent-Contractor Terms
The contractor will use their own equipment, remain responsible for their taxes and ordinary business expenses, and may serve other clients subject to confidentiality and legitimate conflict restrictions. The selected contractor must sign an agreement covering scope, invoicing, confidentiality, data security, work-product ownership, and termination. The contractor will not have authority to bind The Industry HUB or its affiliated companies without written authorization.
