Key Responsibilities
- Oversee and monitor the full medical screening process of egg donors and surrogate mothers.
- Ensure all required medical tests, lab work, and evaluations are completed accurately and on schedule.
- Coordinate appointments with fertility doctors, clinics, and laboratories.
- Monitor strict adherence to treatment plans and doctor’s instructions.
- Provide clear explanations of medical protocols and answer questions. Serve as the primary point of contact between the clinic, doctors, donors, and surrogate mothers.
· Respond to IPs' emails on a daily basis, no later than within 12 hours;
· Respond to parents' inquiries via Viber, WhatsApp, Skype, and telephone;
· Plan programs in cooperation with the SM/ED Medical Coordinator;
· Monitor patient payments and forward information regarding upcoming programs to the Finance Department;
· Organize meetings with IPs and SM/EDs upon the IP's request;
· Ensure medical coordination of the program with the physician and keep IPs appropriately informed;
· Following oocyte retrieval or embryo transfer, inform IPs about the outcome of the procedure, including how the embryo transfer was performed, the number of oocytes/embryos obtained, and the number of embryos frozen;
· Coordinate with the IP regarding the number of embryos to be transferred and inform the physician and embryologist accordingly;
· Coordinate with the IP regarding the preferred sex of the embryo and inform the physician and embryologist accordingly;
· Provide the physician and embryologist with a weekly report on upcoming programs, upcoming patients, and information regarding the number and/or sex of embryos to be transferred for each specific IP;
· Maintain close communication with the SM/ED Medical Coordinator, patients, physicians, and embryologists;
· Send IVF results to patients immediately upon receipt of the HCG test results. In case of an unsuccessful outcome, send the patient a compassionate and supportive email emphasizing that they should not lose hope;
· Request Google reviews and ratings from all IPs who receive a positive HCG test result. Follow-up reminder emails should be sent when necessary;
· Accurately enter and maintain medical coordination information in the intranet system;
· Transfer pregnant IPs to the Pregnancy Care Coordinator via email and through the intranet system;
· Perform any other duties that objectively arise from the responsibilities of the Medical Coordinator, are related to the above-mentioned obligations, and/or are necessary for the proper fulfillment of duties established by the job description, employment agreement, or internal regulations.
- Provide guidance, reminders, and emotional support throughout the process.
- Maintain professional, empathetic communication at all times.
- Prepare regular status updates and reports for management.
- Maintain accurate and confidential medical and administrative records in Data Management System.
Skills and Qualifications
- Background in coordination, nursing, healthcare management, or related medical field.
- Previous experience in fertility, reproductive medicine, IVF coordination, or women’s health is highly preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- High level of responsibility, discretion, and attention to detail.
- Ability to manage sensitive information with confidentiality.
- Proficiency in MS Office, Fluency in English
- Ability to work under pressure and meet strict timelines
