About the Role
ASC Global is seeking a highly organized Administrative Assistant to become the operational backbone of our Guadalajara headquarters. This is a cross-functional support role you will work directly with and report to multiple stakeholders, including the CEO, the Sales team, the Accounting department, and the Procurement/Purchasing area. You will not be confined to a single function; you will own administrative processes across the entire organization and play a key part in keeping everything running smoothly.
What You’ll Be Doing
- CEO & Management Support: Coordinate schedules, prepare documents, handle correspondence, and provide direct administrative support to senior leadership.
- Sales Team Support: Assist with sales documentation, client records, and follow-up coordination to keep the commercial team operating at full speed.
- Billing & Invoicing: Manage the end-to-end invoicing process (facturación), ensuring accuracy and on-time delivery to clients.
- Procurement & Supplier Sourcing: Own the purchasing workflow from identifying and evaluating suppliers, to issuing purchase orders, negotiating prices, and following up on deliveries. This includes sourcing new vendors and products as operational needs evolve.
- Accounts Receivable Support: Follow up on outstanding invoices and coordinate timely collections.
- Documentation Control: Maintain organized physical and digital records of contracts, vendor agreements, and internal files.
- Reporting: Prepare basic administrative reports on spending and billing status for leadership.
What We’re Looking For
- At least 2 years in administrative roles with hands-on experience in billing (facturación) and procurement (compras).
- Demonstrated experience supporting multiple areas or executives simultaneously not just one department.
- Experience in supplier sourcing and purchasing workflows, including vendor evaluation and negotiation.
- Solid command of Microsoft Office, especially Excel.
- Experience with ERP or administrative software platforms.
- C1-level English used daily for professional reading, writing, and communication.
- Proactive, detail-oriented, and capable of working with minimal supervision.

IMPORTANT --> Minimum Requirements
- Minimum 2 years of administrative experience with billing AND procurement.
- Experience supporting multiple departments or executives (not a single-function role).
- English at C1 level demonstrated ability to read, write, and communicate professionally.
- Proficiency in Microsoft Excel and at least one ERP or administrative software platform.
