We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide direct administrative and operational support to Management. This role will be responsible for coordinating schedules, managing travel arrangements, tracking projects and action items, preparing reports, and ensuring the efficient execution of daily administrative functions.
The position is based in Tijuana, Mexico and requires travel to Riverside, California approximately every two weeks, as well as attendance at management meetings and special business events as needed.
Key Responsibilities
- Manage and coordinate executive calendars, appointments, and meetings.
- Arrange domestic and international travel, including transportation, accommodations, and itineraries.
- Prepare reports, presentations, meeting agendas, and meeting minutes.
- Track action items, project deadlines, and follow-up activities on behalf of management.
- Coordinate communication between departments and ensure timely follow-up on requests and assignments.
- Assist with the preparation of operational, administrative, and executive reports.
- Organize and maintain electronic and physical records, files, and documentation.
- Screen and manage emails, correspondence, and administrative communications when required.
- Support management with special projects and strategic initiatives.
- Coordinate logistics for management meetings, presentations, and company events.
- Maintain confidentiality when handling sensitive business and personnel information.
- Provide general administrative support to ensure efficient day-to-day operations.
Qualifications:
Education:
- Associate or bachelor’s degree in Business Administration, Management, Communications, or a related field preferred.
Experience:
- Minimum of 2 years of experience in an Administrative Assistant, Executive Assistant, Office Coordinator, or similar role.
- Experience supporting managers, directors, or senior-level leadership.
- Experience preparing reports, presentations, and tracking projects.

Additional Requirements
- Valid U.S. Border Crossing Card (Visa) and Passport.
- Ability to travel to Riverside, California approximately every two weeks.
- Availability to attend management meetings and occasional business events outside regular office hours.
- Reliable transportation for local and cross-border travel.

Travel Requirement:
- Approximately 10–20% travel, including biweekly trips to Riverside, California and attendance at management meetings as required.
Compensation
- $5,000 MXN net per week during the initial 90-day probationary period.
- $6,500 MXN net per week upon successful completion of the 90-day probationary period and satisfactory performance evaluation.
