About the Role
A growing Los Angeles-based law firm is seeking a highly organized and detail-oriented Bilingual Medical Records Clerk to support our Personal Injury and Landlord-Tenant/Habitability departments.
The Medical Records Clerk will be responsible for requesting, tracking, receiving, and organizing medical records and billing statements from healthcare providers throughout California. The ideal candidate has experience performing similar work at a law firm, medical office, hospital, records-retrieval company, or insurance organization.
This position requires excellent follow-up skills, careful handling of confidential information, and familiarity with HIPAA-compliant authorizations and medical records procedures.
Responsibilities
- Prepare and submit requests for medical records and billing statements
- Obtain properly completed HIPAA authorizations and other required forms
- Communicate with hospitals, clinics, physicians, pharmacies, imaging centers, and other healthcare providers
- Follow up regularly on outstanding and incomplete requests
- Track the status of all requests, payments, authorizations, and responses
- Confirm that received records correspond to the correct client, provider, and date range
- Review records and billing statements for completeness
- Identify missing records, dates of service, invoices, certifications, or authorization requirements
- Upload, label, and organize records in the firm’s case-management system
- Maintain accurate and current medical-provider lists
- Communicate with clients when additional information or updated authorizations are needed
- Protect medical information and other confidential client materials
- Provide regular status updates to attorneys, paralegals, and case-management staff
- Assist with additional records-related and administrative projects as needed
Requirements
- Fluent in English and Spanish, both spoken and written
- Must be located in Mexico
- Must be available Monday through Friday from 8:30 AM–5:30 PM Pacific Time
- At least one year of administrative, records, or case-support experience
- Strong written and verbal communication skills
- Excellent attention to detail and organizational ability
- Comfortable making frequent outbound calls and sending follow-up emails
- Ability to manage a high volume of requests and deadlines
- Experience using Excel, Google Sheets, and document-management systems
- Reliable internet connection and an appropriate remote workspace
- Ability to handle confidential medical and legal information professionally
Preferred Qualifications
- Direct experience requesting medical records for a law firm
- Personal Injury or Landlord-Tenant/Habitability experience
- Experience working for a medical office, hospital, insurance company, or records-retrieval service
- Familiarity with HIPAA forms, medical authorizations, provider invoices, and certified records
- Experience with legal case-management software
- Familiarity with California healthcare providers and medical records procedures
Experience
- Medical records, administrative support, or case support: 2 years (required)
- Law firm or healthcare experience: 2 years (preferred)
- Personal Injury legal experience: 1 year (preferred)
