Position Overview
We are seeking an experienced Intake Specialist to handle new case inquiries, conduct thorough screenings, and provide outstanding support to potential clients . The ideal candidate will bring 2+ years of personal injury experience and share our commitment to client advocacy. This role is perfect for a detail-oriented professional who thrives in a technology-driven, paperless environment and excels at both communication and interpersonal skills while contributing to firm success.
Essential Duties & Responsibilities
- Answer inbound calls, emails, and online inquiries promptly and professionally.
- Conduct detailed client pre-screens to determine case eligibility based on firm criteria.
- Gather and organize all necessary documentation during the intake process, including photos, medical records, insurance information, police reports, and relevant correspondence.
- Accurately input and maintain all case information in the case management system with high attention to detail.
- Sign eligible cases that meet the firm’s criteria and complete full onboarding within the case management system to ensure case managers can begin work immediately.
- Clearly explain the intake process, next steps, and required documentation to potential clients.
- Schedule consultations and follow-up as needed to keep leads active and moving forward.
- Conduct weekly meetings with management to review new leads, pending intakes, conversion outcomes, and any barriers to sign-on.
- Assist with referrals by reviewing incoming referral cases, sending referrals to appropriate parties, and following up to ensure timely handling.
- Maintain consistent follow-up with leads until a final determination is made.
- Collaborate with attorneys and case managers for smooth transition of newly onboarded cases.
Required Qualifications
- Minimum 2 years' experience in the Personal Injury field, or equivalent role
- Strong background in professional services (legal, insurance, or healthcare)
- Fluency in Spanish
